Part-Time Administrative Assistant
Reports To: HR Manager
Schedule: Part-time, 25–30 hours per week
Work Location: Onsite position
Position Summary
The Administrative Assistant serves as the face and voice of Design Electric, Inc. by greeting guests, directing calls, supporting internal teams, and ensuring a smooth flow of information across departments. This role plays a critical part in upholding our professional reputation and supporting day-to-day operations with a positive, proactive attitude.
Core Responsibilities:
Reception & Communication

Greet and direct visitors in a warm and professional manner

Operate the multi-line phone system; answer, screen, and transfer calls

Retrieve and distribute voicemails to appropriate departments

Follow up on missed calls and ensure timely responses

Provide general knowledge about Design Electric’s services, departments, and teams
Mail & Supplies

Check, sort, and deliver mail daily
-
Maintain stock of office supplies and distribute as needed
Administrative Support

Assist all departments with clerical and administrative tasks

Perform data entry, filing, and organization of office records
Apprenticeship Program Support

Grade entry
-
Class registration
-
School and licensing communication
-
Assist with paperwork submission to DPOR and Virginia Works

Keep accurate record of Apprentice attendance
Qualifications & Skills

Clear, courteous, and professional communication (in person, phone, and email)

Friendly, polished, and confident presence at the front desk

Proficiency in Microsoft Office (Word, Excel, Outlook)

Ability to handle multiple tasks and requests with a high level of organization

Willingness to learn and work well with a variety of personalities
