Job Overview
We are a large preschool seeking a dedicated and organized Office Administrator to join our office team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. The Office Administrator will be one of the first points of contact for parents and visitors, making excellent customer support and phone etiquette essential.
Duties
- Work alongside office staff to manage front desk operations, including greeting parents/visitors and answering phone calls with professionalism.
- Oversee office management tasks, including maintaining supplies and equipment.
- Assist with managing the Director's calendar and scheduling tours.
- Perform administrative tasks such as typing documents, organizing student files, managing student vaccination records, ordering school supplies, maintaining up to date classroom rosters, oversee enrollment process for new students, etc.
- Answer parent, staff and vendor questions as needed.
- Prepare school-wide emails and respond to parent and vendor emails.
- Assist parents with enrollment process, including scheduling tours, following up with prospective parents, assisting with enrollment paperwork and inputting new student information into database.
- Utilize time management skills to prioritize tasks effectively in a fast-paced environment.
- Maintain organized records and files to ensure easy access to information.
- Collaborate with team members to enhance office efficiency and workflow.
- Assist in classrooms when necessary.
- Support Director as needed.
Qualifications
- 12 ECE/Child Development units.
- Proven experience in an administrative role is preferred.
- Strong customer support skills with a focus on providing excellent service.
- Proficient phone etiquette for effective communication with clients and colleagues.
- Excellent time management skills with the ability to multitask effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software.
- Strong organizational skills with attention to detail.
- Strong writing and grammar skills.
