Position Summary:
The Operations Assistant supports the daily operational functions of the bank, ensuring accuracy, compliance, and efficiency across multiple areas including account processing, reconciliation, regulatory reporting, and internal support. This role is critical in maintaining the integrity of financial records and delivering high-quality service to both internal teams and customers. This is a full-time position, Monday – Friday. Occasional weekend work may be required for system updates and disaster recovery testing.
Pay Range:
$40,000 - $60,000 per year, based on experience

Key Responsibilities:
- Process and resolve exception items, ensuring timely and accurate handling
- Perform teller over/short research and processing
- Monitor and review controlled accounts for accuracy and compliance
- Manage returned mail, including research and account updates
- Perform general ledger and internal account balancing and reconcile discrepancies
- Prepare, print, and mail customer notifications as required
- Process returned deposited items in accordance with bank policies
- Enter and maintain 1099 addenda information as required
- Administer federal and state backup withholding processing
- Perform account reconciliations and resolve variances
- Process sales and use tax reporting and payments
- Maintain and update core system records and perform system updates as required
- Conduct file maintenance reviews to ensure data integrity
- Provide operational support to various departments across the bank
- Assist with system troubleshooting, maintenance, and updates
- Perform transaction monitoring and support Bank Secrecy Act (BSA) compliance functions
- Monitor ACH activity for anomalies and escalate as needed
- Support debit card operations, including maintenance and issue resolution
- Monitor IOLTA accounts and process required remittances
- Conduct security access reviews to ensure appropriate user permissions
- Provide technical support to network users, including account unlocks, password resets, and basic troubleshooting
- Monitor 18/65 accounts to ensure compliance with applicable laws and regulations
- Process end of year notifications, corrections and reporting
- Handle accounts payable functions, including invoice processing, coding, approvals, and timely payment of vendors
- Reconcile accounts payable records and resolve discrepancies with vendors
- Process wire transfers, including initiation, verification, and settlement in accordance with bank procedures and security protocols
- Support ACH origination activities, including setup, processing, and monitoring of ACH files
- Handle correspondent bank transactions, including daily settlements, reconcilement, and issue resolution
- Participate in disaster recovery, business continuity and incident response testing
- Must complete training as assigned
- Must adhere to all bank and regulatory policy and procedures

Qualifications:
- High school diploma or equivalent required
- Prior banking or financial institution experience preferred
- Strong attention to detail and organizational skills
- Knowledge of banking operations, compliance, and regulatory requirements (including BSA/AML, Truth in Savings, Regulation E, Regulation CC) is a plus
- Proficiency in Microsoft Office and core banking systems
- Ability to manage multiple tasks and meet deadlines
- Strong problem-solving and analytical skills
- Excellent communication and interpersonal skills
Work Environment:
This position operates in a professional office environment and may require occasional collaboration across departments to support operational needs.
Physical Requirements
The employee must occasionally lift and/or move up to 50 pounds.
