The certified medical assistant provides front line support to patients, families, and clinical staff by managing check in, registration, scheduling, and communication throughout the outpatient visit. It combines patient facing service with administrative, including data entry, insurance authorization, and payment collection, while also assisting nurses with rooming, vitals, and clinical workflow tasks. The role ensures smooth clinic operations and reliable support for both patients and clinicians. The role is approximately 75% administrative/computer focused work.
Schedule is Monday - Friday from 8:30am-5pm
Patient and Family Relations & Communication
- Greet our patients and families arriving for clinic visits in a professional, customer-friendly manner.
- Provide and witness consents to treat, communication consent, portal consent, and release of information if needed.
- Communicate the arrival of scheduled patients to the appropriate clinician or clinic nurse
- Register patients in the Oracle and BadgePass systems at the start of the clinic visit
- Collect any payments due
- At the end of the visit print ambulatory visit instructions for patients.
- Schedule the next clinic appointment and check the patient out of Oracle.
- Obtain insurance authorization for clinic visits and procedures
- Promptly answer and triage calls according to established departmental workflows.
Clerical & Data Entry
- Assist with clerical tasks such as copying, filing and faxing as directed by the OP Clinic coordinator
- Enter data into systems including but not limited to Oracle, RedCap and Microsoft Teams as directed by OP clinic coordinator
Support Clinic Nurse
- Answer patient phone calls and document in message center according to the established clinic workflows
- Check message center throughout the day and do tasks assigned by clinicians or clinic nurse.
- Perform intake process for outpatient clinic appointments including rooming patient, obtaining vitals, documenting chief complaint, updating current medication & allergy lists, documenting current feeds, pharmacy & DME etc. Notify clinician when patient is ready.
- Clean and set up clinic room before and after each clinic appointment.
- Performs other duties as assigned
- High school diploma and completion of a certified medical assistant program
- Medical Assistant Certification is preferred
- At least 1-2 years of prior experience in pediatric clinic experience required
- Proficiency in the use of electronic medical records
- Strong communication, organization and interpersonal skills
- Ability to maintain patient confidentiality
