Business Systems Analyst, Finance & Operations
Position Summary
We are seeking a Business Systems Analyst, Finance & Operations to support our growing organization across multiple office locations. This role will serve as the internal bridge between finance, operations, field staff, leadership, and our managed IT provider.
The ideal candidate has a strong understanding of accounting and business workflows, with the technical ability to improve systems, automate manual processes, organize data, support software adoption, and help implement new tools across the company.
This is not a traditional helpdesk or workstation support role. The primary focus of this position is business process improvement, accounting system optimization, reporting, workflow automation, user adoption, and coordination between internal teams and TeamLogic IT.
This person will work closely with leadership, accounting, operations, and TeamLogic IT to ensure systems are organized, secure, documented, scalable, and aligned with the company’s growth.
Key Responsibilities
Finance & Accounting Systems
- Support and improve workflows in QuickBooks, QuickBooks Time, and related accounting systems.
- Help roll out scheduling, time tracking, clock-in/clock-out processes, job costing, and project tracking workflows.
- Assist with automation of accounting processes, reporting, data entry reduction, approvals, and reconciliation workflows.
- Build, maintain, and improve Excel-based tools, templates, reports, and process trackers.
- Identify opportunities to streamline finance, payroll, administrative, and operational processes.
- Work with accounting and leadership to document repeatable procedures and improve accuracy.
Business Process Automation
- Evaluate current manual workflows and recommend process improvements.
- Help implement electronic onboarding processes, including forms and workflows completed from iPads or other devices.
- Coordinate software-based projects across accounting, operations, HR, and field teams.
- Assist with workflow design, testing, rollout, documentation, and training.
- Help standardize how information is captured, stored, reported, approved, and shared across the company.
- Research and recommend software or automation tools that support business growth and efficiency.
Microsoft 365 & Business Applications
- Assist with adoption and effective use of Microsoft 365, Outlook, OneDrive, SharePoint, Teams, and related business applications.
- Help users understand where files should be stored, how documents should be shared, and how to follow company file organization standards.
- Support business application access requests and coordinate proper approvals.
- Help document application workflows, user procedures, and training materials.
- Coordinate with TeamLogic IT on Microsoft 365 security, permissions, backup, retention, and account administration standards.
Internal Systems Coordination
- Serve as the internal point of contact between the company and TeamLogic IT for business systems, user needs, software rollouts, and process improvement projects.
- Coordinate user onboarding and offboarding needs, including application access, Microsoft 365 requirements, device needs, and role-based permissions.
- Maintain internal documentation for users, applications, workflows, software licenses, and business system procedures.
- Track internal IT and systems-related requests and coordinate escalation to TeamLogic IT when needed.
- Help ensure new offices, new users, and new workflows are planned in advance and communicated clearly.
Device & Workstation Coordination
This role may assist with coordinating laptops, Microsoft Surfaces, iPads, printers, and other end-user technology, but it is not intended to be the primary technical support or workstation setup role.
Responsibilities may include:
- Coordinating device needs for new hires, office moves, and new locations.
- Confirming that required business applications are identified and communicated to TeamLogic IT.
- Helping users understand application workflows after devices are deployed.
- Maintaining basic inventory records for company devices and assigned users.
- Performing light troubleshooting related to business applications and user workflows.
- Escalating hardware, network, security, Microsoft 365 administration, endpoint management, printer configuration, and technical support issues to TeamLogic IT.
TeamLogic IT Responsibilities
TeamLogic IT will continue to manage and support the company’s core IT infrastructure and technical support needs, including:
- Network management
- Firewall, Wi-Fi, switching, and internet connectivity
- Cybersecurity tools and standards
- Backup and disaster recovery
- Microsoft 365 tenant administration and security
- Endpoint security and device management
- Workstation setup standards
- Printer/network configuration
- Advanced troubleshooting and escalations
- IT planning for new offices and infrastructure changes
Qualifications
- Experience in accounting, finance operations, business systems, process improvement, or a related role.
