Scheduling Coordinator – Supported Living Services (SLS)
Position Summary
Sentry Living Solutions is seeking a highly organized and dependable Scheduling Coordinator to manage staffing and scheduling for our Supported Living Services (SLS) program.
The Scheduling Coordinator is responsible for coordinating schedules for an assigned caseload of clients, ensuring all authorized service hours are fully staffed, responding to staffing emergencies, and collaborating closely with SLS Leads to provide uninterrupted, high-quality, person-centered support.This role ensures continuity of care by developing and managing employee schedules, responding promptly to staffing needs, assisting with securing coverage for open shifts, maintaining daily scheduling operations, and providing direct client support when necessary to ensure essential services remain uninterrupted.Experience working with individuals with developmental disabilities is highly preferred, as an understanding of the unique needs of this population is essential to maintaining consistent, quality services.This position does require to be on call on the weekends for adequate coverage. This position plays a critical role in ensuring uninterrupted services through effective scheduling, communication, and problem solving. The Scheduling Coordinator works closely with the Supported Living Services (SLS) Lead assigned to the same clients to ensure continuity of care, maintain service quality, and support positive client outcomes. Essential Duties & Responsibilities
- Develop, maintain, and update employee schedules for an assigned caseload of clients.
- Ensure all authorized service hours are fully staffed and covered.
- Review and process employee availability, schedule changes, and time off requests.
- Coordinate staffing coverage for vacations, leaves of absence, and other planned absences.
- Respond promptly to call offs, no shows, late arrivals, and other scheduling emergencies.
- Secure qualified staff to fill open, vacant, or emergency shifts.
- Serve as the primary on call Scheduling Coordinator during assigned weekends.
- Communicate schedule updates, staffing changes, and urgent coverage needs with employees and SLS Leads in a timely manner.
- Monitor employee work hours to support compliance with company policies, overtime guidelines, and labor regulations.
- Maintain accurate scheduling records, documentation, and staffing reports.
- Collaborate closely with SLS Leads to ensure continuity of client services and address staffing concerns.
- Escalate staffing shortages, emergencies, or operational concerns to the Program Director when appropriate.
- Provide direct client support only when all reasonable staffing options have been exhausted.
- Maintain confidentiality of employee and client information in accordance with HIPAA and company policies.
- Participate in team meetings, trainings, and other departmental activities.
- Perform other duties as assigned by the Program Director.
Qualifications Required
- High school diploma or equivalent.
- Valid California driver's license, reliable transportation, and current automobile insurance.
- Ability to successfully pass all required background checks.
- Ability to complete all required trainings.
- Availability and flexibility to assist with staffing coverage needs when necessary, including providing shift coverage during staffing emergencies.
Preferred
- Previous experience in scheduling, workforce coordination, or healthcare staffing.
- Experience working with individuals with developmental disabilities or within human services.
- Experience using scheduling software or workforce management systems.
- Proficiency with Google Workspace (Gmail, Google Calendar, Google Sheets, Google Docs, and Google Drive).
- Experience using scheduling software or workforce management systems is a plus.

- Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software.

Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to use a computer, telephone, and other office equipment for prolonged periods.
- Ability to occasionally lift and/or move up to 25 pounds.
- Ability to travel to various locations throughout the Bay Area as needed to support staffing needs, provide client coverage, and other work-related activities. Ability to respond to urgent staffing needs, including evenings, weekends, and holidays as necessary.
