Job Summary:
This position works under the direction of the Community Coordinator (often called a Community Administrator), assisting in administrative work pertaining to HOA rule violations, requests for modifications to homes and lawns, and homeowner questions and concerns. This position will report to the management team of the property in accordance with company policies, procedures, and standards. This Individual will develop knowledge and skills in the areas of administration, physical facilities management, and residential relations. Administrative experience, Computer skills and strong Customer Service skills required - Preferred experience in HOA administration and management.
Position Responsibilities:
- High School Diploma or GED and a minimum of 1 year experience in a related field (eg. Property Management, Real Estate, HOA/Condo/Townhomes).
- Successfully pass pre-employment background and reference checks.
- Possess a valid drivers license and reliable transportation - must be able to responsibly drive a company vehicle.
- Assist Community Coordinator in processing, managing violations and closing them once rectified according to our governing documents.
- Assist Community Coordinator in processing Architectural Control applications and closing them out in a timely manner.
- Assist Community Coordinator with creating the Agenda for the Architectural Control monthly meetings and processing all Approval/Denial letters from meetings.
- Assist Community Coordinator with field activities associated with the property, Committees, etc.
- Assist Community Coordinator in maintaining resident relations and regular positive communication with residents.
- Assist Community Coordinator in driving the property to help identify violations.
- Assist Community Coordinator in preparation of reports for the Board of Directors, Manager & Office Manager.
- Commitment to managing resident relationships to ensure retention and a high level of customer service, including timely resolution of resident concerns, coordinating special services and conducting formal and informal inspections.
- Helps to create/maintain the culture needed to enhance, promote daily positive interaction among members of the team. Follows safety procedures and maintains a safe work environment.
- Demonstrates a commitment to the organization’s philosophy of High Quality, Professionalism and Organizational Culture.
- Ability to work independently with minimal supervision.
- Must have strong in-person, writing and phone customer service.
- Ability to multitask, coordinate multiple projects at the same time.
- Assist in handling and dispersing mail. Driving to post office may be required.
- Additional duties may be assigned by Community Association Manager, Office Manager or Community Coordinator as needed.
Knowledge & Critical Skills
Must possess the following knowledge and critical skills according to company policy and guidelines, community governing documents and Florida Statute 720.
- Must possess strong administrative background. Preferably in Property Management/Community Association setting.
- Knowledge and application of Microsoft Office, Adobe, and Windows based products.
- Must be responsible driver, maintaining appropriate speeds in community and residential streets.
- Knowledge and applications of tablets / iPads.
- Must be able to prioritize tasks based on urgency and take direction from Community Coordinator.
Work Environment
This position requires working with the community and in an office setting. While working and driving in the community you may be communicating with the Board of Directors, Community Association Manager, Office Manager and Residents.
- Physical demands include ability to lift up to 50lbs
- Driving, standing, sitting, walking and occasional climbing.
- Requires working at a personal computer or driving at slow speeds through the community for extended periods of time.
- Talking on the phone for extended periods of time.
