Job description:
The Front Desk Manager is responsible for the day-to-day operations of the Front Desk which serves as the keystone for member interface with the Club, as well as the Overnight Accommodations operations.
In addition to leading the front desk team, you will oversee daily reservation systems, concierge services, communications routing, and overnight lodging accommodations, ensuring every touchpoint reflects the Club's hallmark standard of service.
This is a pivotal leadership role designed for a polished hospitality professional who excels in team leadership, operational seamlessness, and driving an unmatched level of personalized member engagement.
Key Responsibilities:
Departmental Leadership & Experience
- Departmental Management: Lead, mentor, and schedule the Front Desk team, fostering a polished, welcoming reception area and a warm, personalized, arrival experience for all members and guests.
- Service Escalation & Relations: Proactively anticipate member needs and serve as the primary point of contact for inquiries or feedback with diplomacy and speed.
- Club Ambassadorship: Maintain deep, up-to-date knowledge of all Club Programming, athletic activities, and special events to serve as the authoritative information resources for the membership.
Administrative & Reservation Systems Management
- Comprehensive Reservation Oversight: Manage end-to-end online, phone, and in-person reservations for dining venues, overnight guest rooms, and Club-wide special events using Club management software (Cobalt).
- Lodging & Guest Services Operations: Oversee the full check-in and check-out process for overnight accommodations, acting as lead concierge for visiting guests.
- Communication & Call Architecture: Direct incoming communications, efficiently screening, transferring, and routing multi-line phone traffic across departments while maintaining seamless communication channels.
- Interdepartmental Synergy: Coordinate directly with Food & Beverage, Housekeeping, Catering, and Communications teams to verify reservation details, guest preferences, and operational handoffs.
Skills/Qualifications:
- Experience: 3+ years of progressive front desk, concierge, or operational management experience within high-end private clubs, luxury lodging, or premium hospitality.
- Systems Proficiency: Strong technical ability with Microsoft 365 and Club Management Systems (Cobalt or similar POS/PMS platforms); adept at maintaining pristine database records.
- Administrative Mastery: Exceptional organization and multi-tasking skills with a proven track record of managing complex schedules, high-volume call traffic, and multi-departmental reservations simultaneously.
- Communication & Demeanor: Refined interpersonal skills, excellent written and verbal communication, and a polished, professional presence suited for a premier private club environment.
- Flexibility: Willingness to work a varied schedule reflective of Club operations, including evenings, weekends, and holidays.
