We are a growing metal fabrication and construction company looking for a reliable Part-Time Office Coordinator to help manage daily office operations and job tracking. This is a positive, team-oriented position with flexible hours, ideal for someone organized, detail-oriented, and comfortable working in a contractor environment with multiple ongoing projects.
We are looking for someone with a good attitude, professionalism, and consistency, who also has a mindset of wanting to improve operations and make a real difference in how things are run, not just complete tasks.
Pay
- $20 per hour
- Part-time (approximately 15–30 hours per week)
Responsibilities
Office & Admin
- Answer phone calls and respond to emails
- Create and send customer invoices
- Follow up on payments and outstanding balances
- Organize job files, drawings, and project documents
- Assist with purchase orders and vendor communication
- Schedule deliveries and coordinate basic job scheduling
Job Tracking (Important)
- Track labor hours by job/project (man hours)
- Collect and organize time sheets from shop and field staff
- Track material purchases per job
- Match receipts, invoices, and deliveries to the correct job
- Maintain simple job cost records (labor + materials)
- Keep job folders updated so costs are organized and accessible
Documentation & Communication
- Ability to read and understand detailed project documents, drawings, and paperwork
- Comfortable working through heavy documentation (contracts, specs, invoices, job packets)
- Able to clearly communicate information between shop, office, vendors, and customers
- Must be able to ask questions, clarify details, and keep information accurate
Computer & Technical Skills
- Computer savvy and comfortable learning new systems quickly
- Strong skills in email, spreadsheets, and basic office software
- Ability to stay organized using digital files and tracking systems
- CAD experience is a plus (not required) for reviewing or viewing drawings
Requirements
