Position Title: Human Resource and Volunteer Coordinator
Department: Human Resources
Reports to: Manager of Human Resources
FLSA Classification: Full time, hourly, non-exempt
Work Schedule: Tuesday through Saturday, (On-site with work hours to be determined. Occasional schedule adjustments or off-shift hours may be required based on organizational needs.)
Hourly Wage: $25.00-$28.00 per hour (Commensurate with experience and education)
Job Summary
MOSAC is seeking a Human Resources & Volunteer Coordinator to support both employee and volunteer programs. This position provides administrative and coordination support in areas such as onboarding, recruitment, employee records, benefits support, volunteer onboarding, internal communications, and day-to-day HR operations.
The ideal candidate is organized, detail-oriented, professional, and comfortable communicating with employees, volunteers, managers, and external partners. This role requires strong confidentiality, follow-through, and the ability to manage multiple priorities in a busy museum environment.
Key Duties/Responsibilities:
· Provide administrative support for Human Resources and the Volunteer Program.
· Support employee onboarding, new hire paperwork, orientation, and Paychex setup coordination.
· Assist with recruitment tasks, including job postings, candidate communication, interview scheduling, and hiring documentation.
· Maintain accurate employee and volunteer records, files, forms, and related documentation.
· Support benefits enrollment, disenrollment, 401(k) updates, payroll-related changes, and employee status updates.
· Coordinate Live Scan/fingerprinting and background check processes for employees and volunteers.
· Assist with leave documentation, offboarding, training tracking, and employee communications.
· Support required union-related communications and maintain related records.
· Coordinate volunteer onboarding, first shifts, information sessions, scheduling support, and volunteer recordkeeping.
· Maintain volunteer software, volunteer binders, monthly volunteer hour reporting, and volunteer communications.
· Prepare and distribute staff and volunteer newsletters every other week.
· Support uniform inventory, parking/license plate records, internal reminders, and cross-department communication.

· Strong written and verbal communication skills
· Ability to remain calm and professional under pressure
· Ability to work effectively in a busy and occasionally noisy office environment
· Ability to prioritize responsibilities and work independently with minimal supervision
· Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
· Ability to learn and effectively use HR, payroll, and volunteer management systems
· Perform other related duties and special projects as assigned by the Manager, Human Resources.
Education and Experience:
· AA or AS degree in Business Administration, Human Resources, or a related field required
· A minimum of one to two years of experience in human resources or a related role required
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Some periods of standing and walking may be required.
· May require lifting up to 30 pounds.
· Final hiring is contingent upon successfully passing a fingerprinting criminal background check.
