Probate Paralegal

Probate Paralegal Manager
Position Summary
The Probate Paralegal supports attorneys in administering estates from initial filing through final distribution. This role requires strong organizational skills, attention to detail, and the ability to manage multiple matters simultaneously while providing a high level of client service during sensitive life events.
KEY RESPONSIBILITIES
Estate Administration
- Prepare and file probate pleadings, including petitions, inventories, accountings, and closing documents
- Assist with both testate and intestate estate administration
- Coordinate with courts to ensure timely filings and compliance with deadlines
- Track and manage probate timelines, hearing dates, and statutory requirements
-Prepare documents necessary for estate litigation

Estate Planning
-Conduct initial and follow up consultations with clients
-Draft wills, and trusts, powers of attorney, deeds, revocations, healthcare POA
Protective Proceedings
-Prepare guardianship and/or conservatorship pleadings for appointment of alleged incapacitated individuals and minors
-Prepare and submit SLED background checks as required
-Assisting clients in obtaining necessary documentation for appointment
Client & Beneficiary Communication
- Serve as a primary point of contact for clients including original client intake meeting
- Communicate case status updates with professionalism and empathy
- Assist in gathering necessary documentation (death certificates, asset information, etc.)
- Meeting with clients to sign paperwork, explain the probate/guardianship/conservatorship process including their responsibilities as Personal Representative (if applicable) and timeline of the case
- Send monthly status letters/messages to keep the client well informed
Asset Management & Financial Coordination
- Assist in identifying, valuing, and transferring estate assets
- Coordinate with financial institutions, appraisers, and accountants
Document Preparation & Case Management
- Draft correspondence and legal documents for attorney review
- Maintain organized and accurate case files (physical and electronic)
- Manage deadlines using case management software
Court & Administrative Support
- documents and interact with probate court personnel
- Calendar hearings, deadlines, and client meetings
- Support attorneys during court proceedings as needed
Qualifications
- Associate’s or Bachelor’s degree preferred
- Paralegal certification strongly preferred
- 2+ years of paralegal experience required; probate or estate administration experience preferred
- Knowledge of probate procedures and court rules (state-specific knowledge preferred)
-Valid Notary Commission
- Proficiency in Microsoft Office and legal case management software required

Time Expectations
-This position is expected to maintain 7.5 billable/non-billable hours Monday through Thursday and 6.5 billable/non-billable hours on Friday. The paralegal will accurately track time in the firm’s billing system.
Work Environment & Expectations
- Office-based work required daily
- May require occasional court visits
Preferred Experience
- Experience with estate tax filings or fiduciary accounting
- Familiarity with probate software (MyCase, etc.)
Pay: $40,000.00 - $90,000.00 per year
