The Receptionist serves as the first point of contact for Trinity Management, Inc. and is responsible for creating a professional, welcoming, and organized environment for employees, visitors, vendors, and business partners. This position provides administrative support to the Chief Executive Officer while assisting with the day-to-day operational needs of the corporate office. The Receptionist plays an important role in maintaining an efficient, organized, and professional workplace that supports the success of executive leadership and the organization.
Primary responsibilities include greeting visitors, answering and directing incoming telephone calls, receiving, sorting, and distributing incoming mail, preparing outgoing mail and packages, maintaining organized filing systems, ordering office and breakroom supplies, monitoring inventory, and ensuring conference rooms, reception areas, and common spaces remain clean, organized, and presentable. The Receptionist will also assist with document preparation, invoice organization, records management, bill preparation, scheduling assistance, and other administrative duties as assigned.
This position is intended to assume routine administrative and clerical responsibilities that allow executive leadership to remain focused on strategic initiatives and organizational priorities. The Receptionist will work from assigned priorities, daily task lists, and direct instruction provided by the Chief Executive Officer or his designee. This is an execution-focused position responsible for completing assigned work accurately, professionally, and timely. The Receptionist is not responsible for determining priorities, directing workflow, or making operational decisions, but rather for ensuring assigned responsibilities are completed efficiently while maintaining strict confidentiality.
Additional responsibilities include maintaining organized executive files, assisting with administrative support related to invoices and payment documentation, coordinating deliveries, organizing office records, and ensuring routine office tasks are completed consistently. Personal appointments, errands, or non-business-related responsibilities for executives are not considered part of this position unless specifically authorized as a business necessity.
The Receptionist is also responsible for maintaining the cleanliness and professional appearance of the corporate office through routine light housekeeping duties, including keeping workspaces, reception areas, breakrooms, conference rooms, and other shared spaces neat and orderly. While the company may periodically utilize contracted cleaning services for deep cleaning, the Receptionist is expected to maintain the office's daily appearance and organization.
The ideal candidate is dependable, organized, detail-oriented, and customer service focused with excellent communication skills and the ability to maintain strict confidentiality. Proficiency in Microsoft Office applications, strong organizational abilities, and a willingness to perform a wide variety of administrative and office support duties are essential.
