Skin Spot Laser Club is a growing medical aesthetics practice dedicated to helping clients look and feel their best through advanced aesthetic treatments, skincare, and wellness services.
We are seeking an experienced, organized, and customer-focused Lead Patient Care Coordinator & Front Desk Manager to lead our front desk operations and help create an exceptional client experience. This role is ideal for someone who enjoys building relationships, staying organized, solving problems, and helping a business grow.

Overview:
As the first point of contact for our clients, you will play a critical role in the success of our practice. You will oversee daily front desk operations, coordinate patient scheduling, communicate with prospective and existing clients, support membership growth, and ensure a smooth and professional experience from check-in to checkout.
This is not a treatment-provider position. We are looking for someone who is passionate about customer service, organization, communication, patient retention, and business operations.
Responsibilities:
- Greet and check in clients with professionalism and enthusiasm
- Answer incoming phone calls and assist clients with scheduling and inquiries
- Manage appointment scheduling, confirmations, and waitlists
- Coordinate daily provider schedules and patient flow
- Maintain a clean, organized, and welcoming reception area
- Assist clients with questions regarding services, memberships, packages and products
Patient Communication & Follow-Up
- Respond to emails, text messages, and online inquiries
- Follow up with prospective clients who have expressed interest in our services
- Contact consultation leads and missed appointment opportunities
- Follow up on treatment recommendations and membership opportunities
- Assist with patient retention and rebooking efforts
- Maintain timely and professional communication with clients throughout their treatment journey
Sales & Membership Support
- Educate clients on memberships, packages, and treatment options
- Encourage appointment rebooking before clients leave
- Promote specials, packages, and membership benefits
- Help maximize provider productivity and schedule utilization
Financial & Administrative Duties
- Process payments and client checkouts accurately
- Ensure services and products are invoiced correctly
- Review invoices and transactions for accuracy
- Audit daily transactions, discounts, and promotions
- Complete end-of-day reconciliation procedures
- Maintain accurate client records
Qualifications
- Minimum 2 years of experience in customer service, patient coordination, front desk operations, hospitality, office administration, or a similar role
- Strong communication and phone skills
- Highly organized with excellent attention to detail
- Ability to multitask in a fast-paced environment
- Comfortable discussing pricing, memberships, and treatment options
- Professional appearance and demeanor
- Proficient with computers and technology
- Reliable, dependable, and professional
Preferred Qualifications
- Bilingual in English and Spanish
- Experience in a medical office, dental office, cosmetic practice, hospitality, or luxury customer service environment
- Experience with patient coordination, scheduling, membership programs, or customer retention
- Previous leadership or front desk management experience
Additional Requirements
- Must be available to work a full-time schedule, Tuesday through Saturday
- Ability to remain professional, organized, and efficient in a fast-paced environment

Preferred Experience
- Familiarity with medical aesthetics, wellness, cosmetic, dental, or luxury service environments
- Understanding of memberships, treatment plans, client retention, and customer service best practices
- Experience working in a client-facing role where relationship building and communication were essential

Pay: $22.00 - $30.00 per hour
