At Coastal Dental Arts, we believe that exceptional dentistry is only half the battle. The other half is helping patients navigate the confusing world of insurance, copays, and deductibles so they can actually receive the care they need.
We are seeking a detail-driven, highly organized, and empathetic Treatment & Insurance Coordinator to join our front-of-house team.
This is not a passive data-entry job. In this role, you are a patient advocate. You are the person who demystifies their benefits, fights for their claims, and builds clear, predictable financial paths so they can move forward with treatment without fear or financial surprises.
Why This Role Exists (The Real “Why”)
When a patient delays necessary dental care, it is rarely because they don't want a healthy smile—it's usually because they are afraid of the cost or confused by their insurance.
When this role is done well:
- Patients know exactly what their insurance covers and what their out-of-pocket responsibility is before treatment begins.
- Insurance claims are submitted accurately the first time, and denials are aggressively followed up on.
- The practice’s Accounts Receivable (AR) remains incredibly healthy because financial boundaries are set with kindness and clarity upfront.
- The clinical team can focus entirely on patient care, knowing the financial foundation is rock solid.
Your job is to eliminate the financial friction between our patients and the life-changing care our doctors provide.
What You Will Do
- Insurance Breakdown & Verification: Proactively verify patient benefits, calculate accurate copays, and maintain up-to-date insurance fee schedules in our practice management software.
- Treatment Presentation: Meet face-to-face with patients post-exam to present treatment plans. You will break down the clinical recommendations into clear financial steps, explain third-party financing options (like CareCredit), and secure financial commitments.
- Claims & Billing Management: Submit clean electronic claims daily, attach necessary narratives/X-rays, and aggressively track down outstanding or unpaid claims past 30 days.
- Account Stewardship: Manage patient billing statements, post insurance and patient payments accurately, resolve ledger discrepancies, and handle past-due balances with professionalism and respect.
Who You Are
Experience with dental insurance codes (CDT), claim troubleshooting, and treatment presentation is highly preferred for this role.
You are someone who:
- Geeks Out on Details: You notice the small line items. You enjoy the puzzle of maximizing a patient’s insurance benefits to save them money.
- Possesses Back-Bone and Heart: You can talk about money comfortably. You know how to collect a copay or discuss a past-due balance firmly, yet with absolute grace and empathy.
- Is a Creative Problem Solver: When an insurance company denies a valid claim, you don't just write it off. You dig in, gather the clinical data, and appeal it.
- Thrives in Structure: You hate chaos. You love clean ledgers, accurate notes, and repeatable systems.
- Is a Team Player: You communicate seamlessly with the clinical team to ensure treatment plans match what is actually being presented to the patient.
