About the Role
Seeking a highly organized and detail-oriented Administrative Coordinator to support the day-to-day administrative operations of a fast-paced, mission-driven organization. This role provides administrative support across multiple departments, with a focus on Advancement operations, donor database administration, reporting, and organizational coordination.
This position is ideal for someone who enjoys keeping projects organized, maintaining accurate data, improving processes, and ensuring nothing falls through the cracks. The Administrative Coordinator plays an important behind-the-scenes role in helping teams operate efficiently while supporting fundraising efforts, administrative systems, and organizational operations.

Administrative Support
- Provide administrative support across multiple departments as assigned.
- Coordinate calendars, meetings, and internal logistics.
- Prepare meeting materials, reports, and supporting documentation.
- Maintain organized electronic files and documentation.
- Assist with committee coordination and meeting preparation.
- Manage shared spaces, schedules, and administrative requests.
Advancement Operations
- Administer and maintain the organization's donor database (Bloomerang), including donor records, segmentation lists, and ongoing data integrity.
- Process donations, maintain accurate gift records, and assist with donor acknowledgments.
- Prepare donor reports, mailing lists, dashboards, and fundraising data.
- Support annual giving campaigns, appeals, stewardship activities, and fundraising initiatives.
- Assist with donor-advised fund processing and other fundraising administrative tasks.
- Coordinate administrative logistics for fundraising events and committees.
Data Management & Organization
- Maintain accurate organizational records and databases.
- Perform routine data audits and quality control.
- Generate reports and assist with organizational metrics.
- Ensure documents, files, and communications are accurate, organized, and up to date.
- Support implementation and maintenance of organizational systems and processes.
Collaboration & Coordination
- Serve as an administrative resource for Advancement, Operations, HR, and other departments as needed.
- Coordinate vendors, supplies, and general office logistics.
- Support cross-functional projects and organizational initiatives.
- Provide backup administrative support for key operational functions.

Required Qualifications
- 2–4 years of administrative, office coordination, or operations experience.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Experience using Microsoft Office, particularly Excel, Word, and Outlook.
- Experience working with databases or CRM systems.
- Ability to manage confidential information professionally.
- Strong attention to detail and accuracy.
Preferred Qualifications
- Experience with Bloomerang or another donor CRM.
- Experience in a nonprofit organization.
- Experience supporting fundraising, development, or business operations.
- Experience coordinating meetings, committees, or organizational events.
