Overview
We are seeking a highly organized and proactive Executive Administrative Coordinator to serve as a strategic partner and right-hand support to a Vice President and engineering leadership team. This role goes beyond traditional administrative support and requires an individual who can manage budgets, coordinate business planning activities, support executive-level initiatives, and drive operational efficiency across the organization.
The ideal candidate is a strong communicator with exceptional organizational skills, experience supporting senior leadership, and the ability to manage multiple priorities in a fast-paced, global environment.
Required Qualifications
- Associate's or Bachelor's degree, or equivalent professional experience
- 3+ years of recent experience providing high-level administrative support to senior leadership (Director, Senior Manager, VP, or equivalent)
- Experience supporting budget planning, budget tracking, forecasting, and expense management
- Ability to assist with strategic planning and business operations initiatives
- Basic knowledge of SAP and/or Ariba
- Strong proficiency with Microsoft Office Suite, including:
- Excel
- PowerPoint
- Word
- Outlook
- Teams
- Excellent organizational, communication, and interpersonal skills
- Proven ability to manage multiple competing priorities in a fast-paced environment
- Candidates must complete Microsoft Office assessments and achieve a score of 80% or higher prior to submission
Key Responsibilities
- Provide executive-level support to the Vice President and leadership team
- Assist with budget creation, forecasting, tracking, and financial reporting activities
- Support department strategic planning initiatives and business operations
- Coordinate complex calendars, meetings, travel arrangements, and executive schedules
- Prepare, format, and distribute presentations, reports, meeting materials, and other business documentation
- Track project milestones, action items, and key deliverables to ensure timely completion
- Maintain departmental records, documentation, and SharePoint sites
- Coordinate onboarding activities and support team logistics
- Facilitate communication and collaboration across cross-functional and global teams
- Process expenses, purchase requests, and other administrative transactions through SAP and Ariba
- Identify opportunities to improve processes, reporting, and overall team efficiency
Pay: From $23.00 per hour
