Kohost is the operating system for mission-driven organizations' facilities. We serve charter schools, independent schools, Boys & Girls Clubs, and nonprofits with a smart-campus platform and a fully outsourced facilities department.
We're hiring a Facilities Concierge Manager to run outsourced facilities operations across our client portfolio. You'll be the single point of accountability for keeping our clients' buildings running: managing vendors, driving down costs, staying ahead of maintenance, and making sure nothing falls through the cracks.
This is a tech-forward role. You won't be buried in clipboards and voicemails. You'll live in our platform, where vendors, tickets, maintenance schedules, invoices, and building automation all run in one place. What you'll do:
- Serve as the dedicated facilities lead for a portfolio of client organizations
- Coordinate, bid out, and benchmark vendors, holding them accountable to scope, timeline, and cost
- Coordinate the vendors that our clients rely on the most: plumbing, locksmith, HVAC, general building handyman work, electrical, plus asphalt, concrete, roofing, flooring, and low-voltage access control and PA systems
- Clean up and renegotiate existing contracts to optimize client spend
- Build and manage preventive maintenance schedules across sites
- Track warranties and support CapEx and capital planning
- Manage work orders and tickets from intake to resolution, all inside the platform
- Own the billing process: review, validate, and consolidate vendor invoices into one monthly bill per client
- Handle facilities emergencies and coordinate rapid vendor response
- Run recurring client check-ins and report on savings, response times, and project status
What we're looking for:
- 3+ years in facilities management, property management, or vendor coordination
- Comfortable living in software; you pick up new tools fast and prefer a dashboard to a spreadsheet
- Strong vendor negotiation and cost-benchmarking instincts
- Excellent communication and a level head with vendors and clients; you stay calm, professional, and diplomatic under pressure
- Highly organized across multiple sites and clients
- Client-facing and relationship-driven
- Comfortable tracking and reporting on operational metrics
- Bonus: charter school, nonprofit, or multi-site experience
