The HR & Site Operations Generalist will oversee human resources administration, regulatory compliance and site operational workflows. The individual will support the local management team and be pro-active in maintaining good working relationships with colleagues.
The Generalist will be interpreting Company policy, champion best HR practice and ensure the day-to-day duties for the running of the offices/facilities.
This role functions as the primary point of contact for site-level HR operations, personnel management and site-operational efficiency.
Accountabilities:
Human Resources & Strategic Employee Management
· Policy Interpretation: Act as specialist on Company handbook, Policies and labor regulations, ensuring all site practices align with Company and legal standards. Ensuring the Handbook is up-to-date at all times.
· Onboarding: Manage the end-to-end onboarding and integration process for new hires including liaising with agencies, conducting first interviews, offer letters, I-9 checks, onboarding documentation and training. Evaluate onboarding effectiveness after three months of employment for every new hire and implement improvements to increase retention.
· Employee Relations: Serve as the first point of contact for employee grievances; conduct initial investigations and provide recommendations to the Managing Director - US regarding disciplinary actions and terminations.
· Performance Management: Coach managers on delivering feedback, conducting PM interviews and drafting Performance Improvement Plans as appropriate.
· Benefits & Leave Administration: Independently manage the site’s Leave of Absence (LOA) and FMLA processes, other absence leave; interpret complex benefit policies for employees and ensure site compliance with labor laws. Administer the 401K and the Medial Insurance Plans and liaising with the supplier on a regular basis.
· HR Database: Updating the employee HR Database on a daily basis. Generating bespoke reports as requested.
· HR Stats: Monitor and report on monthly attrition rates, absence trends, exit interview learnings feedback, updating the HR Tracker.
Regulatory Compliance & Risk Management
- Audit Management: Design and execute internal audit protocols for personnel files, I-9 compliance and security credentials; authorize corrective actions based on audit findings.
- Labor Law: Monitor site-level adherence to EEO standards; identify potential risks and proactively implement mitigation strategies.
Operational Leadership & Administration
- Financial Oversight: Manage the site’s administrative budget, including office equipment, and vendor contracts; negotiate terms with local suppliers to ensure cost-efficiency.
- Payroll & Data Analysis: Oversee the integrity of payroll data; liaise with the Payroll Provider; analyze labor trends and overtime usage to provide the Managing Director with actionable insights for headcount planning.
- Operational Liaison: Act as a proxy for the Managing Director in operational planning meetings.
- Visitors: Arrange ID badges, prepare ‘bought-in’ sandwich lunches, manage the meeting room bookings.
- Facilities: Ensure the kitchen, office areas and rest rooms are clean and tidy. Frank the mail and deliver to local posting box. Maintain adequate office supplies of stationery, paper, cleaning materials. Liaise with external professionals for electricity, security issues. Ensuring health and safety regulations are maintained on-site.
There may be numerous other duties involved with Facilities.
Qualifications/ skills/ experience / knowledge
- Education/Experience: Bachelor’s degree in HR, Business Administration, or a related field preferred; 3–5 years of progressive HR or Operations experience.
- Professional Certification: PHR, SPHR, or SHRM-CP certification is highly desirable.
- Judgment: Proven ability to manage confidential information and recommend the best action outcomes that may impact the business and its employees.
- Regulatory Knowledge: In-depth understanding of FLSA, FMLA, ADA.
- Communication: Exceptional interpersonal skills with the ability to influence the management team and resolve any conflict effectively with minimum risk to the business.
- Travel: Willingness to travel; there may be occasional travel to the UK.

· Flexibility with the duties to be undertaken and good listening and influencing skills.
· Confident in Excel and comfortable working with numerous systems, external portals.
