POSITION SUMMARY
The Assistant Registrar supports the daily operations of the Education Department by assisting with the maintenance, processing, and accuracy of student academic and admissions records. This position works closely with the Registrar and Academic Support Specialist to ensure student records and required documentation are complete, accurate, and maintained in a timely manner.
The Assistant Registrar assists with student record maintenance, admissions exam score entry, Proof of Graduation tracking, transcript and record requests, student status changes, and general registrar functions. This position works collaboratively with Admissions, Financial Aid, and other departments to identify and resolve missing or inaccurate student information and documentation.
POSITION REQUIREMENTS
1. Assist with maintaining accurate and complete student academic files in compliance with institutional and ACCSC requirements.
2. Assist with collecting, tracking, and maintaining Proof of Graduation documentation and follow up on outstanding documentation as needed.
3. Enter and maintain admissions exam scores and supporting documentation within student information systems.
4. Review student records for missing, incomplete, or inaccurate information and assist with resolving discrepancies.
5. Assist with processing student record and transcript requests.
6. Assist with student information updates, withdrawals, reentries, and changes of program after required approvals have been received.
7. Assist with diploma and degree processing.
8. Maintain, scan, upload, organize, and appropriately file student records and documentation.
9. Assist with student record audits, accreditation preparation, reporting, and other compliance-related documentation.
10. Respond to routine requests for student information from authorized students, faculty, staff, and other approved parties.
11. Work collaboratively with the Registrar, Academic Support Specialist, Admissions, Financial Aid, and Education staff to ensure student records and documentation are accurate and complete.
12. Perform other registrar duties as assigned by the Director of Education.

POSITION REQUIREMENTS
- Bachelor’s degree preferred
- Work with considerable independence and under general guidelines and directions.
- Must work collaboratively and cooperatively with diverse individuals and groups.
- Must have excellent communication, interpersonal, organizational, and time management skills.
- Strong PC software proficiency for utilizing and maintaining academic record systems and databases is a must.
- Excellent written and oral communication skills.
- Ability to act as a professional at all times in all circumstances.

Pay: $45,000.00 - $55,000.00 per year
