Nature of Work
This is responsible administrative and clerical work providing assistance with numerous tasks associated with Marshall County Government’s Maintenance Department. Activities associated with the job include procurement of supplies, purchase orders and recordkeeping, overseeing maintenance requests, maintaining repair and inspection files, working directly with vendors, and other office duties. Job responsibilities require strong organizational, interpersonal, and decision-making skills, and considerable experience working in an office environment. Job performance is reviewed by the Maintenance Supervisor through observation of interactions with County employees, the public and vendors, accuracy and thoroughness of work assignments, and ability to effectively coordinate activities of the Maintenance Department.
Illustrative Examples of Work
· Responsible for procuring and maintaining supplies for the Maintenance Department and its County buildings through the Budget Office’s purchase order system.
· Will assist the Maintenance Supervisor with maintaining the department’s budget.
· Manages the online maintenance request portal; assists with scheduling and communicates with other County department heads regarding maintenance requests.
· Works directly with vendors to secure supplies; receive supplies; and inventory supplies.
· Assist with daily schedules for custodians.
· Manage maintenance schedules and repairs for department vehicles.
· Maintains inspection records for various equipment including boilers, elevators, fire alarms, sprinklers, and extinguishers.
· Maintain and update as needed the department’s Hazard Communication Plan.
· Maintain training records for department staff; schedule training as needed.
· Composes routine correspondence, documents and reports as needed.
· Answers the phone and greets visitors to provide information and assistance.
· Occasionally assist the custodial staff when short-handed.
· Performs related duties as required.
Necessary Requirements of Work
Graduation from an accredited four-year high school supplemented with additional training, education, and/or experience in office administration, accounting, or related field; good organizational, interpersonal, and decision making skills; considerable experience performing a variety of administrative and bookkeeping functions; or any equivalent combination of education and/or experience to provide the following knowledge, abilities and skills:
- Considerable knowledge of acceptable office management practices and procedures, equipment, and clerical techniques.
- Considerable knowledge of computer software programs including word processing, spreadsheet, and database management applications.
- Considerable knowledge of acceptable business English including established grammatical form for preparing reports, correspondence, and memoranda.
- Knowledge of maintenance/custodial work.
- Ability to assist with compiling data and writing reports utilizing acceptable grammatical form and practices.
- Ability to prioritize job related activities in an effective and efficient manner to ensure meeting established deadlines and reporting requirements.
- Ability to interact in a professional and effective manner with County elected officials, department heads, coworkers, and the public.
- Ability to perform purchasing and bookkeeping activities using propriety software program.
- Skill in using common office equipment including multiline phone systems, calculators, copiers, fax machines, scanners, etc.
Physical Requirements
· This is light to medium work requiring moderate static, explosive, dynamic and trunk strength and requiring the exertion of up to 40 pounds of force occasionally and up to 5 pounds of force frequently to move objects.
· Work requires considerable flexibility, mobility, and speed of limb movement.
· Work requires moderate effort and stamina.
· Work requires both gross body equilibrium and coordination for balancing, bending, stooping, kneeling, and walking.
· Work requires arm/hand steadiness and manual and finger dexterity.
· Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
· Hearing is required to perceive information in both quiet and noisy environments and determine the direction of sounds.
· Visual acuity is required for the operation of office equipment, determining the accuracy and thoroughness of work, color differentiation, and observing general surroundings and activities.
· The worker is subject to inside and occasional outside environmental conditions, including hazardous chemicals, oils and lubricants, noise, strong smells, and slippery surfaces.
