Avicado Construction Technology Services is seeking a Project Coordinator to support one of our rapidly growing data center infrastructure clients. In this role, you will serve as a trusted partner to program leadership by coordinating meetings, tracking action items, organizing project information, and helping ensure projects stay on schedule and aligned across stakeholders. This position is ideal for someone who is highly organized, proactive, adaptable, and excellent communicator. The right candidate is a quick learner who enjoys working with people, managing details, and supporting complex projects in a fast-paced environment. Austin, TX is preferred to allow occasional in-person collaboration, though remote candidates will be considered.

What you’ll do…

Project & Program Coordination
-
Provide day-to-day coordination support to Program Leadership across multiple active projects and initiatives.

Assist with organizing project activities, schedules, priorities, and deliverables.

Help maintain project trackers, action logs, status reports, and meeting documentation.

Coordinate project communications between internal teams, consultants, vendors, and client stakeholders.

Support project planning efforts by gathering information and ensuring tasks remain on track.

Meeting Management & Follow-Up
-
Schedule, coordinate, and support recurring project and program meetings.
-
Prepare agendas and supporting materials for meetings.
-
Capture accurate meeting notes, decisions, action items, risks, and next steps.
-
Distribute meeting summaries and ensure stakeholders understand assigned responsibilities.
-
Track action items and proactively follow up with team members to ensure timely completion.

Administrative & Operational Support
-
Organize and maintain project documentation, files, and communication records.

Support reporting activities and information gathering for project leadership.

Assist with onboarding vendors, coordinating logistics, and managing project-related administrative activities.

Help identify process improvements that increase team efficiency and project visibility.

Stakeholder Coordination

Serve as a point of contact for project communications and coordination activities.

You should have

1–3 years of experience in project coordination, program coordination, administrative support, operations, customer service, or related field.
