We are seeking a motivated, organized, and detail-oriented Part-Time Administrative & Marketing Assistant to support our daily operations, marketing initiatives, and client engagement activities.
Position Summary
The Administrative & Marketing Assistant will play a key role in supporting office operations, marketing campaigns, client communication, and database management. This position requires someone who is highly organized, self-motivated, adaptable, and comfortable handling a variety of responsibilities throughout the day.
Responsibilities:
Administrative Support
- Manage and maintain customer relationship databases (CRM).
- Organize and update client records and contact information.
- Schedule appointments and coordinate calendars.
- Assist with office administrative tasks and special projects.
- Maintain accurate records and task tracking systems.
Marketing & Client Outreach
- Make outbound calls to prospective clients, current clients, and real estate agents.
- Set appointments for real estate and mortgage consultations.
- Assist with social media content scheduling and management.
- Monitor and respond to social media inquiries as directed.
- Support email marketing and client communication campaigns.
- Help coordinate client events, workshops, and community outreach activities.
Print Marketing & Mailings
- Prepare, organize, and mail postcards, flyers, newsletters, and other marketing materials.
- Coordinate bulk mail campaigns and maintain mailing lists.
- Assist with the creation and distribution of marketing materials.
Qualifications
- Bachelor's Degree in Business Administration, Marketing, Communications, Management, or a related field required.
- Strong verbal and written communication skills.
- Professional phone etiquette and customer service skills.
- Excellent organizational and time-management abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and follow-through.
- Proficiency with Microsoft Office, Google Workspace, and CRM/database systems.
- Ability to adapt and perform a variety of tasks in a fast-paced environment.
- Comfortable learning and utilizing AI-powered productivity tools.
Preferred Qualifications
- Social media marketing experience (Facebook, Instagram, LinkedIn, YouTube, etc.).
- Experience with Canva or other graphic design platforms.
- Experience in real estate, mortgage, sales, or customer service environments.
- Event coordination or marketing experience.
