Overview: Responsible for ensuring customer satisfaction to all Cirrus customers, potential customers and guests during all visits to the Cirrus campuses. The Guest Ambassador 2 enhances customer relationships by driving the Service Essentials to create personal experiences by creating a world class environment. Work location may be at various campus offices. Responsibilities:
- Greet, engage, and host all customers, prospective customers, colleagues, contractors, and visitors

Anticipate guests' needs and respond promptly

Communicate the needs and observations of guests to other appropriate parties

Maintain safe and secure surroundings, including escorting, handing-off, and tending to all parties on-site at any given time

Support all departments and personnel to maintain positive company culture

Coordinate with internal and external parties to ensure seamless experiences

Act as a liaison between, to, and for all departments and the company as a whole

Keep track of current personnel, company news, operations, and policies
-
Provide support for any celebrations, escalations, or special circumstances in the customer experience

Maintain common spaces (organization, stocking, cleaning, maintenance, reordering, etc.)
Responsible for all individuals signing-in for their visit:

Individuals should be escorted by a Cirrus employee

Send, receive, and assist with mail/parcel shipments and maintain healthy relationships with the delivery drivers

Shuttle and escort customers to various buildings on the Vision Center campus; arrange transportation as needed
-
Monitor parking at each building and provide visitors with parking passes during their visit
-
Keep track of building accessibility, both in personnel badge access and in building lock schedules
-
Keep track of local employee perks, such as Zoo passes, Top Golf passes, and discount codes
-
Provide coverage to other Guest Ambassador locations as needed
-
Provide training and shadowing opportunities for new hires and other team members
-
Utilize company scheduling applications, digital communications, and in-person intel to develop and maintain weekly reports shared to all guest experience departments
-
Concierge Reports cover: weekly delivery and training schedules, daily attendance, lunch orders, arrival and departure information, and any associated accommodations for that week
-
Compile on-site visitor lists weekly; order, organize, and distribute customer and visitor badges daily
-
Work with third-party vendors to provide additional services for all guests and personnel (i.e. catering, rental car companies, provisions, badges, etc.)

Receive and process aviation fuel orders and bill external customers accordingly
-
Manage a fleet of courtesy vehicles, keeping track of fuelings, service, and detailing, as well as a daily log of usage
-
Intake all calls to the campus phone number
-
Provide campus tours and general information to prospective owners, visitors, and/or colleagues
-
Assist with coordinating and executing campus events, large meetings, and/or group meals
-
Support the curation of the Customer Experience gifts for each delivery
-
Serve in Administrative Assistant capacity for site leaders
-
Assist with developing articles for the Cirrus HUB
-
Perform general administrative tasks – various departmental projects, filing, data entry, calendar management, etc.

Establish business partner relationships with local Restaurants, Hotels, Spas, Golf courses, Car rental and additional activities in the area.
For Remote Locations:

Place order for New Hire and/or Internal Employees additional uniforms via CINTAS
-
Prepare, manage, and maintain financial records for monthly review by accounts payable and receivable and ensure that all invoices (FBO, OTC, Workorder) are entered in a prompt and accurate manner

Prepare welcome packet to include welcome letter, HR, and IT documentations for new hire
-
Energize the Cirrus Service Essentials
Qualifications:
- High school diploma or equivalent required. Associates or Bachelors in Hospitality preferred.

1-3 years in current Cirrus role and/or 2-3 years of customer service, marketing, sales, hospitality and/or aviation required
-
2+ years' administrative assistant experience required
-
1+ years' billing or accounting experience preferred
-
1+ years' experience in retail management of POS, inventory control and product placement preferred
