Overview
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our vibrant boxing and fitness gym. This role is essential in ensuring the smooth functioning of administrative processes, managing team members, coordinating events, and maintaining exceptional customer service standards. Responsibilities
- Manage daily office operations, including scheduling, calendar management, and front desk activities to ensure seamless gym functioning.
- Supervise administrative staff, providing training and development opportunities to enhance team performance.
- Oversee vendor relationships, including equipment suppliers, service providers, and other external partners to ensure timely delivery and quality standards.
- Coordinate event planning for gym promotions, competitions, member appreciation days, and community outreach initiatives.
- Handle bookkeeping tasks using accounting software such as QuickBooks; maintain accurate records of income, expenses, payroll, and budgeting activities.
- Manage human resources functions including onboarding new staff, handling confidential employee information, and supporting payroll processes.
- Maintain organized filing systems for client records, medical documentation (if applicable), and administrative documents while ensuring confidentiality.
- Utilize Microsoft Office tools and spreadsheets to generate reports, track performance metrics, and streamline office procedures.
- Provide exceptional customer service at the front desk via multi-line phone systems; address member inquiries professionally and promptly.
- Oversee office supplies inventory management; ensure all equipment is functional and well-maintained for optimal productivity.
Experience
- Proven supervisory experience in an office or administrative setting within a health or fitness environment preferred.
- Demonstrated proficiency with accounting software such as QuickBooks or similar financial management tools.
- Strong background in schedule management, vendor relations, bookkeeping, and office administration.
- Experience in event planning and coordinating community or promotional activities is highly desirable.
- Familiarity with human resources functions including payroll processing, employee onboarding, and confidentiality handling.
- Excellent communication skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Technical proficiency in Microsoft Office suite (Word, Excel, Outlook) along with experience using spreadsheets for data analysis.
