The Role:
We're looking for a detail-oriented, organized Procurement Assistant to own the day-to-day purchasing and vendor coordination that keeps our engineering and service teams running, while also supporting general office operations. This role is primarily procurement-focused — quotes, orders, vendor relationships, tracking — with office administration as a secondary responsibility.
Key Responsibilities
Procurement
- Process purchase orders and track them from request through delivery
- Source and request quotes from vendors and distributors for hardware, software, and licensing
- Reconcile vendor invoices against Pos, address any discrepancies, and enter invoices into Quickbooks
- Maintain accurate records of open orders, pending shipments, and product keys
- Monitor stock levels for commonly used equipment and reorder proactively
- Build and maintain vendor relationships, negotiating pricing and terms where possible
- Support the team by fielding and triaging procurement-related tickets
- Package and create labels for shipments
- Complete daily receiving of hardware, software, and licenses
Office Administration
- Support general office operations — supplies, vendor coordination for building/facilities needs, mail and shipping
- Assist with fleet or equipment tracking as needed
- Provide backup coverage for reception, scheduling, and light administrative support
- Help coordinate internal events or meetings as needed
What We're Looking For
- 2+ years of experience in procurement, purchasing, or office administration (IT/MSP industry experience a plus, but not required)
- Strong organizational skills and comfort managing multiple open orders/tasks at once
- Clear written and verbal communication — comfortable emailing vendors and following up
- Proficiency with basic office software (Microsoft Office/365); experience with ConnectWise, Pax8, or similar platforms is a bonus, not a requirement
- A budget-conscious, detail-first mindset
A collaborative, team-first attitude — this role works closely with client success, engineering, service delivery, and leadership
