Position Overview
As the Office Manager, you will be responsible for overseeing daily office operations, ensuring efficiency, and supporting staff with administrative tasks. This role requires excellent organizational skills, strong communication abilities, and a passion for working in a mission-driven environment.
Key Responsibilities
- Manage daily office operations, including scheduling, supplies, and communications
- Maintain accurate records and documentation
- Support, onboarding, and employee records management
- Assist with billing, payroll processing, and financial reporting
- Ensure compliance with company policies and state regulations
- Serve as a liaison between staff, clients, and management
- Coordinate meetings, trainings, and office events
Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- Previous office management or administrative experience required
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software
- Excellent communication and interpersonal skills
- Ability to handle confidential information with professionalism
- Experience in healthcare, social services, or a related field is a plus

Requirements:
- All applicants must be at least 18 years old.
- All applicants must agree to and provide necessary credentials in order for A Caring Heart to perform various background checks to include motor vehicle reports.
- All applicants must provide references in order for A Caring Heart to perform professional reference checks.
- All applicants must possess, at minimum, a high school diploma or GED; or diploma/official transcript of their highest level of education that has been successfully completed.
- Must have experience and be familiar with Microsoft Office applications such as Excel, Word, and Microsoft Office email system.
- Must have experience with successfully managing a variety of office correspondence such as: electronic documentation, typing, faxing, data entry, receiving emails, sending emails, and organizing emails.
- Must have experience and a high level of comfortability with managing a variety of standard office practices such as: managing employee and consumer charts, coordinating staff trainings, administrative housekeeping, general tasks related to billing, and answering phone calls/walk-ins with superior professionalism.
- Must be comfortable in effectively and professionally assisting, communicating, and coordinating with Program Directors and site Supervisors in order to meet administrational obligations related to record-keeping and recurring record updates.
- Must be competent and familiar with the highest standards of HIPAA practices related to private and sensitive documents such as: handling sensitive applicant and employee information, business documents and records, etc.
- Must be able to assist as necessary with event planning such as: parties, picnics, and other similar activities.
