We are seeking a highly organized, dependable, and proactive Medical Receptionist / Patient Care Coordinator to support a busy medical practice. This is not an entry-level front desk role. We are looking for someone who is comfortable managing a high-volume administrative workload, communicating professionally with patients and outside facilities, and handling the details required to keep a fast-paced practice running smoothly.
The right candidate must be able to manage a multi-line phone system, communicate clearly with patients by phone, text, and email, coordinate referrals and surgery scheduling, and navigate insurance-related workflows including benefit verification, prior authorizations, and obtaining required documentation. This role requires strong follow-through, attention to detail, and the ability to prioritize multiple moving pieces at once without letting tasks fall through the cracks.
This position begins part-time and in person. For the right person, there is opportunity for growth into a full-time role with increased flexibility and possible remote/hybrid responsibilities as trust, independence, and workflow mastery are established.
Responsibilities
- Answer and manage a high-volume, multi-line phone system professionally, efficiently, and with excellent phone etiquette
- Respond to patient inquiries by phone, text, and email in a timely, courteous, and professional manner
- Send appointment reminders, communicate scheduling updates, and help patients prepare for upcoming visits or procedures
- Schedule and coordinate patient appointments, follow-ups, and related administrative tasks
- Coordinate referrals, obtain required records/documentation, and communicate with referring offices and specialists as needed
- Verify insurance eligibility and benefits prior to visits and procedures
- Manage insurance-related administrative tasks including:
- prior authorizations
- obtaining required referrals
- collecting supporting documentation
- following up on pending approvals
- Coordinate with hospitals and anesthesia teams for procedure and surgery scheduling
- Ensure all required paperwork, authorizations, and scheduling details are completed accurately and on time prior to surgery
- Maintain accurate patient records, update demographic and insurance information, and document communication appropriately
- Track outstanding tasks and follow through on unresolved items until completion
- Support front office workflow and help maintain efficient day-to-day operations in a busy practice environment
- Perform other administrative and patient coordination duties as needed to support the practice
Requirements
- Proven experience in office administration or clerical roles with excellent organizational skills.
- Strong computer literacy, including proficiency in Microsoft Office (Word, Excel) and Google Workspace tools.
- Experience with multi-line phone systems and phone etiquette is essential.
- Bilingual abilities are highly desirable to assist diverse clients and team members effectively.
- Familiarity with office management tasks such as filing systems, data entry, calendar management, and proofreading documents.
- Previous experience as a receptionist or administrative assistant in medical offices is a plus.
- Demonstrated customer service skills with the ability to handle inquiries professionally and courteously.
- Excellent time management skills with the ability to prioritize tasks efficiently in a busy environment.
Required Qualifications
- Prior experience in a medical office, surgical practice, specialty practice, or other healthcare administrative setting
- Strong experience answering multi-line phones and managing a high volume of patient communication
- Working knowledge of medical insurance processes, including benefit verification, prior authorizations, referrals, and related administrative workflows
- Experience coordinating care, referrals, procedures, or surgery scheduling is strongly preferred
- Excellent organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment
- Strong written and verbal communication skills with a professional, patient-centered approach
- High attention to detail and strong follow-through; able to track tasks from start to completion
- Comfortable communicating with patients, physicians’ offices, hospitals, surgery centers, and ancillary teams
- Strong computer skills and comfort learning practice management systems, EMRs, scheduling platforms, and office communication tools
- Reliable, punctual, and able to work independently while also functioning well as part of a team
Preferred Qualifications
- Experience in a high-volume specialty medical practice
- Bilingual skills are a plus
Pay: $18.00 - $20.00 per hour
