We are seeking an experienced, dependable, and highly organized Bookkeeper / Office Administrator to manage our day-to-day financial transactions and daily office operations in our small Scottsdale Airpark office.
This position is ideal for a detail-oriented professional who excels at managing accounts receivable/payable, maintains meticulous financial records, and enjoys working independently to keep a small business running smoothly.
Key ResponsibilitiesBookkeeping & Financial Administration
- Accounts Receivable & Payable: Manage billing, post incoming payments, generate client invoices, and handle vendor payments.
- Financial Tracking & Reconciliation: Maintain accurate financial records, reconcile accounts, and support general ledger maintenance.
- Data Entry: Enter and verify financial data efficiently with high-speed accuracy using 10-key skills.
- Reporting: Assist with general office accounting procedures, basic financial reporting, and preparing documentation for tax/CPA review.
Office Administration & Support
- Spreadsheet Management: Create, update, and maintain complex tracking spreadsheets using advanced Microsoft Excel features.
- Document Control: Prepare, edit, and format professional correspondence, contracts, and documents.
- Office Operations: Manage email communications (Outlook), answer and route incoming phone calls with a high level of professionalism, and keep digital and physical filing systems highly organized.
- Special Projects: Support operations with ad-hoc projects and general administrative duties as needed.
Qualifications
- Experience: Minimum of 5 years of professional bookkeeping, accounting clerk, or combined financial/administrative experience.
- Software Proficiency:
- Strong proficiency in Microsoft Excel (ability to manage formulas, tracking sheets, and data analysis is a major focus).
- Proficient in Microsoft Word and Outlook.
- Experience with Quicken or comparable bookkeeping/accounting software is highly preferred.
- Skills:
- Excellent typing and 10-key by touch skills for rapid, accurate data entry.
- Strong fundamental understanding of general accounting principles (debits, credits, posting, and reconciliation).
- Communication & Etiquette: Professional phone manner, strong customer service skills, and clear written and verbal communication.
- Work Style: Exceptionally organized, detail-oriented, self-motivated, and comfortable working independently in a quiet, small-office environment with minimal supervision.
Preferred Qualifications
- Prior experience working in the real estate, construction, property management, or escrow industries.
