Position Summary
The Customer Service Representative (CSR) is the first point of contact for clients and patients. This role provides exceptional client service, manages the reception area, schedules appointments accurately, and ensures smooth communication between clients and the veterinary team. CSRs are expected to maintain professionalism, compassion, and accuracy while supporting the hospital’s mission and values.
Requirements & Skills
- 1+ year in receptionist or customer service role (veterinary preferred, not required)
- High school diploma or equivalent
- Clear verbal and written communication skills in English
- Basic computer skills (typing, Microsoft Office; Cornerstone preferred)
- Strong attention to detail, organization, and multitasking in a fast-paced setting
- Empathy, patience, and professionalism in all client interactions
- Ability to explain hospital policies and basic pet health/preventive care
- Math skills for invoicing and reconciliation
- Calm under pressure, able to manage multiple calls/clients at once
- Flexible and adaptable to changing priorities
- Ability to manage reception independently when needed
Physical Demands
- Lift up to 40 lbs
- Squat, kneel, and bend as needed
- Sit for extended periods and perform repetitive typing/mouse use
- Interact with pets when assisting clients
Hours
- Shifts scheduled between 7:00 am – 6:30 pm
- Saturday availability required
- Regular, reliable attendance expected
Essential Responsibilities
Client Service
- Deliver outstanding service with every interaction
- Greet clients/patients promptly and warmly
- Answer and route calls professionally; encourage appointment scheduling
- Maintain accurate client/patient records and communications
- Provide education on services, preventive care, and estimates
- Communicate payment policies clearly and professionally
- Handle euthanasia appointments with compassion
- Demonstrate resilience and problem-solving during busy or emotional situations
Reception & Administrative
- Schedule and confirm appointments for efficiency and satisfaction
- Request/attach medical records and update client files
- Assist with online pharmacy and digital tools
- Process invoices and payments; balance cash drawer daily
- Triage patients appropriately based on urgency
- Maintain reception cleanliness and support hospital sanitation
- Assist with filing, scanning, and attaching forms
Professionalism & Team Support
- Ensure clear, accurate communication between clients, doctors, and staff
- Maintain professionalism in tone, volume, and demeanor at all times
- Collaborate with CSRs and staff for smooth workflow
- Support prescription refills and client pharmacy questions
- Cross-train as needed and assist other departments
- Contribute to a respectful, positive work environment
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
