We are currently seeking a talented Part-Time Wedding & Event Planner/Onsite Designer to support our event operations, ensuring every detail is executed flawlessly for our discerning clientele.
Job Overview
As a Part-Time Wedding & Event Planner/Onsite Designer, you will play an integral role in the coordination and execution of our events. This position focuses on the critical tasks typically involved in "Month-of" event planning, including site walkthroughs, liaising with logistics and venue teams, overseeing event setup and styling, and ensuring everything runs smoothly from load-in to final touches.
Key ResponsibilitiesPre-Event Planning (30 Days Out)
- Site Walkthroughs: Attend venue walkthroughs to understand venue layout, load-in locations, power requirements, and rigging capacities.
- Client & Vendor Communication: Reach out to clients 30 days before the event to ensure that all critical event details are confirmed and gathered. Relay this information to logistics and team members as needed.
- Critical Details Coordination: Work with logistics managers to clarify event specifics, staffing needs, and any changes to quantities or requirements (subrentals/custom fabrication).
- Pre-Production Meetings: Attend and actively participate in 30-day-out, 2-week, and 1-week production meetings, ensuring all elements of the event are accounted for and communicated.
Event Day (Load-In & Setup)
- On-Site Management: Arrive early on event day for load-in and stay through setup to ensure everything runs smoothly. Work with the Lead to ensure that all event elements are accounted for and nothing is missed during the loading process.
- Styling & Design Implementation: Oversee the styling of lounges, decor, and other event spaces to ensure they align with the client’s vision.
- Client & Vendor Coordination: Interface with the venue staff and planner as needed to ensure a seamless setup. Provide exceptional service, addressing any last-minute requests or adjustments with professionalism and efficiency.
Post-Event Tasks
- Invoice Reconciliation: Review and reconcile invoices as necessary, making adjustments to quantities or services based on any last-minute changes or additions.
- No Load-Out Responsibilities: This position does not require participation in load-out.
Qualifications
- Experience: At least 5 years in event planning or event design, particularly in high-end or luxury event settings.
- Detail-Oriented: Strong organizational skills with an ability to track multiple moving parts and ensure all event details are covered.
- Client-Facing Experience: Comfortable working directly with clients and vendors, providing exceptional service in a high-pressure environment.
- Creative Skills: A strong eye for design, with experience styling and setting up event spaces.
- Communication: Excellent communication skills, both verbal and written. Ability to work well with team members, clients, and vendors.
- Technical Knowledge: Familiarity with event logistics, including load-in requirements, power, rigging, and event setup.
- Flexible Schedule: Ability to work flexible hours, including evenings and weekends, depending on event schedules. Willing to work weekends and travel 2-8 hours+ depending on the location and sometimes overnights.
