We’re looking for a motivated, dependable, and detail-oriented Accounting/Administrative Assistant to join our small office team. Job Duties and Responsibilities:
Your primary responsibility will be to keep our office running smoothly and efficiently by addressing whatever may come up during any given day. Daily responsibilities include, but are not limited to:
- Answer and direct incoming phone calls while providing outstanding customer service.
- Welcome visitors and maintain office security procedures.
- Process Accounts Payable and Accounts Receivable.
- Process customer, broker, and sales requests for information and product samples.
- Fulfill retail online orders and communicate with customers as needed.
- Maintain employee timecards, attendance records, and assist with HR-related administrative tasks.
- Update and maintain records in Microsoft Excel and other office systems.
- Build and maintain organized customer and vendor filing systems.
- Manage office contracts and administrative records.
- Monitor customer accounts, follow up on past-due invoices, and maintain positive customer relationships.
- Assist with customer portals and data synchronization.
- Support the day-to-day operations of the office and perform other administrative duties as needed.
Minimum Qualifications:
Education and Experience
- High school diploma or equivalent
- Some office administrative experience
Knowledge, Skills & Abilities
- Provide exceptional customer service with a friendly, professional attitude.
- Excellent written and verbal communication skills.
- Working knowledge of Microsoft Office (Excel, Word, Outlook).
- Self-motivated and able to work independently.
- Strong organizational and time management skills
- Pay close attention to detail and take pride in producing accurate work.
- Learn quickly and eager to take on additional responsibilities.
- Adaptable and willing to help wherever needed in a small office environment.
- Ability to follow company policies and applicable Good Manufacturing Practices (GMPs).

Schedule & Benefits
- Full-time (40 hours per week), we will consider part-time if necessary
