Client Coordinator
Huizenga Law Firm | Orange City, Iowa
Full-Time | Monday–Friday | 8:30 AM–5:00 PM
Are You the Person Who Makes Sure Things Actually Get Done?
Do you get satisfaction from checking the last box, closing the loop, and knowing nothing was left hanging?
Are you the person others can count on to remember the details, follow through on commitments, and finish what you start?
Do you enjoy helping people—and believe that being warm, professional, organized, and dependable can make someone's day noticeably better?
Huizenga Law Firm is looking for a Client Coordinator to serve as the first point of contact for our clients and help keep our office running smoothly.
What You'll Own
You'll be responsible for helping create an exceptional client experience while keeping the day-to-day details of the office moving forward.
Your responsibilities will include:
- Answering incoming calls and making sure messages and follow-up items get to the right person.
- Welcoming clients and visitors with warmth, empathy, and professionalism.
- Scheduling and coordinating appointments.
- Assisting with new-client intake and accurately entering information into our systems.
- Creating, maintaining, and updating client files and records.
- Processing incoming and outgoing communications promptly.
- Assisting with scanning, filing, copying, mail, and packages.
- Preparing meeting rooms and helping make clients comfortable during their visit.
- Supporting team members with administrative needs as they arise.
- Following tasks through to completion rather than assuming someone else will take care of them.
You'll Probably Love This Role If...
You genuinely enjoy finishing things.
A task sitting at 90% complete bothers you. If you told someone you'd take care of something, you want to know it was actually handled.
You notice the appointment that still needs confirmation. You remember the message that needs follow-up. You see the document that hasn't made it to the right place yet—and you take action.
You don't need someone constantly reminding you what comes next. You take ownership, keep track of details, and enjoy the satisfaction of turning an open task into a completed one.
At the same time, you enjoy working with people. You understand that clients may be contacting a law firm during an important or stressful time in their lives, and you know how to combine efficiency with genuine kindness.
What Success Looks Like
You'll know you're succeeding when:
- Clients consistently feel welcomed, heard, and cared for.
- Calls, messages, appointments, and documents are handled promptly and accurately.
- Attorneys and team members can trust that when you say something will be handled, it gets handled.
- Client information and files stay accurate and organized.
- You anticipate needs and take appropriate action.
- You contribute to a positive, helpful, team-oriented office.
- You take ownership when something goes wrong and help make it right.
Skills That Will Help You Succeed
We're looking for someone with:
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- The ability to manage multiple responsibilities without losing track of follow-up.
- A professional and empathetic approach to client interactions.
- Dependability and a strong sense of personal accountability.
- Initiative and the ability to work without constant direction.
- A willingness to pitch in and help teammates when needed.
- The ability to stay composed and professional when priorities shift.
Why Join Huizenga Law Firm?
Your work matters.
You're often the first interaction someone has with our firm. The way you answer a phone call, welcome someone into the office, or follow through on a request can shape that client's entire experience.
You'll have variety.
This isn't a role where every hour looks exactly the same. You'll interact with clients, coordinate schedules, handle administrative details, and support the team in different ways throughout the day.
You'll be part of a team.
We value people who help one another and care about the team's collective success.
You'll have opportunities to grow.
We encourage professional development and opportunities to learn new skills as you gain experience with the firm.
This Role May NOT Be for You If...
We want to be transparent about the kind of person who thrives in this position.
This probably isn't the right role if you:
- Frequently need reminders to finish tasks.
- Enjoy starting projects much more than completing them.
- Assume someone else will handle a loose end.
- Become frustrated by interruptions or changing priorities.
- Don't enjoy frequent interaction with clients and coworkers.
- Prefer waiting for detailed instructions rather than taking appropriate initiative.
- Have difficulty receiving feedback or taking responsibility for mistakes.
But if you're reading this thinking, "I love making sure everything gets done—and done well," we want to hear from you.
