As our company continues to grow, we're looking for a Project Coordinator to become an essential member of our operations team.
About the Role
The Project Coordinator is responsible for supporting the administrative and operational side of our restoration projects. Reporting directly to the Chief Operating Officer, this position helps ensure new projects are properly initiated, documentation is complete, schedules remain organized, and important follow-up items don't fall through the cracks.
You'll work closely with our Project Manager, field staff, customers, insurance representatives, vendors, and subcontractors to help keep projects moving efficiently. While the Project Manager remains responsible for ongoing project management and primary customer communication, you'll play a key role in coordinating information, monitoring project progress, and supporting daily operations.
This position also provides occasional scheduling and administrative support for our affiliated moving company as business needs require.
Responsibilities
- Coordinate the intake and setup of new restoration projects.
- Answer incoming phone calls and provide professional customer service.
- Schedule inspections, mitigation services, reconstruction work, and project-related appointments.
- Monitor active project files to ensure documentation, timelines, and follow-up items remain on track.
- Route customer questions and project updates to the appropriate team member.
- Communicate with customers regarding scheduling, intake, documentation, and other administrative matters.
- Coordinate with insurance representatives, vendors, subcontractors, and field staff as needed.
- Maintain accurate digital job files and project documentation.
- Assist with work authorizations, estimates, invoices, project closeout documentation, and collections follow-up.
- Identify missing information or potential project delays and communicate concerns to leadership.
- Support daily office operations and assist with improving internal processes.
- Provide occasional scheduling and administrative support for our affiliated moving company as needed.
Qualifications
- Previous experience in project coordination, office administration, customer service, construction, restoration, logistics, moving, or a related field preferred.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Comfortable making and receiving phone calls throughout the day while providing outstanding customer service.
- Ability to prioritize multiple projects in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Proficiency with Microsoft Office and Google Workspace.
- Experience with CRM software, scheduling software, or multi-line phone systems is preferred.
- Ability to work independently while contributing to a collaborative team.
Schedule
- Full-Time
- Monday-Friday
- Participation in a rotating weekly on-call schedule is required. During your assigned on-call week, you'll assist with after-hours phone coverage and emergency service coordination. Additional on-call compensation is provided.

Pay: $38,000.00 - $44,000.00 per year
