Position Summary
We are seeking a motivated and detail-oriented Human Resources Specialist to provide administrative and operational support to the Human Resources department across our residential care communities. This entry-level position will work closely with the Regional Human Resources Manager and community leadership teams to support daily HR functions, improve internal processes, and enhance the overall employee experience.
The Human Resources Specialist will assist with employee documentation, benefits support, payroll processes, onboarding activities, employee engagement initiatives, and HR technology systems. This role will also help create resources and training materials, including how-to guides and videos, to improve communication and provide additional support to employees and community teams.
Occasional travel to facility locations may be required.
Essential Functions
Human Resources Administration
- Assist with daily Human Resources operations and provide administrative support to the HR department and community leadership teams.
- Work with employees and managers to assist with routine HR questions and provide support regarding company processes, procedures, and resources.
- Assist with maintaining accurate employee records by coordinating documentation collection, following up on required forms and acknowledgements, and ensuring HR files are properly uploaded and maintained.
- Assist with maintaining employment agreements, certifications, employee documentation, and other required HR records.
- Support employee changes by assisting with documentation updates, system updates, and communication with appropriate teams.
- Assist with employee offboarding processes by helping coordinate documentation collection, equipment returns, and system updates.
- Maintain confidentiality and professionalism while handling sensitive employee information and HR-related documentation.
Payroll and Benefits Support
- Assist with payroll-related processes by reviewing employee information for accuracy and helping identify potential discrepancies.
- Assist with payroll audits by reviewing employee changes, benefit deductions, and payroll-related information to help ensure accuracy and maintain accurate enrollment records.
- Work with employees to assist with routine benefit questions and help direct employees to the appropriate resources.
- Support annual benefits enrollment activities by assisting with employee communications, documentation, and enrollment follow-up.
- Assist with tracking benefit eligibility requirements and maintaining accurate benefit-related records.
Employee Engagement and Retention Support
- Work with community leadership teams to support employee appreciation programs, recognition initiatives, and engagement activities that promote employee satisfaction and retention.
- Assist with developing ideas, resources, and communication tools that support a positive workplace culture.
- Help gather employee feedback and assist with identifying opportunities to improve the employee experience.
- Support retention initiatives by assisting communities with employee engagement efforts, recognition programs, and culture-building activities.
HR Technology and Process Improvement
- Help create training resources, process guides, and instructional videos to support employees and leadership teams with HR processes and technology systems.
- Assist with documenting standard operating procedures to improve consistency across communities.
- Help identify opportunities to simplify and improve HR processes and assist with implementing process improvements.
- Assist with HR reporting, data collection, and tracking HR-related metrics.
- Work with the HR team to support ongoing projects and initiatives that improve efficiency and communication.
Equipment and Technology Support
- Assist with ordering employee equipment, technology, and HR-related supplies as needed.
- Help maintain accurate records of company-issued equipment and technology.
- Assist with tracking equipment assignments, transfers, and returns between employees and locations.
- Work with community teams to help ensure employees have the necessary resources and technology needed to perform their job responsibilities.
Recruitment and Onboarding Support
- Assist with recruitment activities as needed, including posting open positions, reviewing applications, scheduling interviews, and communicating with candidates.
- Support onboarding efforts by helping coordinate new hire requirements, employment paperwork, and system setup.
- Assist with tracking recruitment activity and maintaining accurate hiring records.
- Work with community leadership teams to help ensure new employees have a positive onboarding experience.

Position Qualifications
Education and Experience
- High school diploma or equivalent required.
- Associate degree or bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
- Previous experience in an administrative, customer service, healthcare, or office support role preferred.
- Experience working with Microsoft Office products and HR software systems preferred.
Knowledge, Skills, and Abilities
- Strong attention to detail, excellent communication skills, and the ability to maintain accurate records while working collaboratively with employees, managers, and leadership teams.
- Ability to handle confidential information with professionalism and discretion.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Comfortable learning new technology systems, software platforms, and internal processes.
- Willingness to learn and develop knowledge of HR practices, policies, and compliance requirements.
- Ability to identify opportunities for improvement and assist with implementing solutions.
- Ability to communicate effectively in a professional and respectful manner.
Physical Requirements and Work Environment
- Ability to work in an office environment and occasionally visit residential care communities.
- Ability to communicate effectively with employees, leadership teams, and external partners.
- Occasional travel between company locations may be required.
