Church Ranch Event Center is seeking a highly skilled and experienced event finalizing specialist. This key role will drive our company's direction and help develop plans to achieve our business objectives. You will be instrumental in maintaining our competitive edge and stellar reviews by helping meticulously plan and execute exceptional events.
Role Summary
The Finalize Specialist supports event planning for Church Ranch Event Center (CREC) and Table Mountain Meetings and Events (TMME), ensuring each event is fully documented, accurately built in planning systems, and ready for day-of execution. This role will review each planning pod form for accuracy and handle all final headcount duties; guest counts, staffing coordination, vendor invoices, contract updates, and final billing—while maintaining organized event files in Tripleseat, W2W, OneDrive, and planning pod.
Key Responsibilities
- Develop, implement, and monitor standard procedures for CREC & TMME management, preferred partners, and staff to ensure consistent quality and guest service.
- Hire and train new event managers and setup team members.
- Ensure client expectations and contractual details are met.
- Assist with initial and final walk-through meetings as needed.
- Support other team members and managers as required.
- Update final contracts, process payments, and manage final invoices.
- Verify all details are accurate prior to sending out to execution team
- Create and update marketing materials for the company’s sales and planning teams.
- Maximize profitability and customer satisfaction through staff training, scheduling, and relationship management with preferred partner vendors and internal departments.
- Research competitors to identify new opportunities.
- Align departmental goals and resources with an overall company strategy.
- Support significant organizational changes and assist with company adaptations.
- Work closely with senior executives, owners, event staff, and partners to support effective decision-making.
- Maintain a monthly inventory check on linens, decor options, and communicate all counts to the necessary people (setup team, planning coordinators, management)
- Answer incoming calls and accept deliveries
- Ensure accurate linen count for upcoming events

Work Environment & Logistics
- Location: On-site at Church Ranch Event Center (CREC)
- Schedule: Full-time business hours (9:00 a.m.–5:00 p.m.) plus flexibility for occasional evenings/weekends to support event timelines and day-of needs.
- Be available for phone support on weekends

Job Type: Full-time
Pay: $38,000.00 - $42,000.00 per year
