We have an exciting opportunity for an Administrative Operations Manager to join our company at our Johnston, Iowa headquarters.
As an Administrative Operations Manager, you will use your experience and skills to perform complex administrative duties with minimal supervision and provide oversight and guidance to an administrative team. Responsibilities – What You Will Do:
- Responsible for detailed and proactive support of the VP of Biotechnology – maintain calendar to ensure they are fully prepared for all meetings, events, and travel. Manage and process expense reports, budgets, and invoices.
- Supervise and lead the work of a team of administrative employees within the department.
- Provide functional support to the Biotech Leadership Team and assist with planning and execution of department level projects, events, and meetings.
- Serve as a key contact for Human Resources processes, which include position management, new hire orientation, document verification, payroll, and/or time entry, working with Administrative Coordinators across the department to execute these activities.
- Compose and proofread correspondence, spreadsheets, presentations, reports, documents, etc.
- Establish and maintain appropriate reports, files, and other related document management, activities as needed.
- Coordinate departmental and leadership meetings, as well as organize, take minutes, and distribute information from meetings.
- Responsible for employment processes, such as coordinating the hiring process for new or replacement positions.
- Accountable for the overall design of department administrative support workstreams and work processes.
- Responsible for providing career development guidance, coaching, and addressing performance issues within the administrative team.
- Expected to delegate accurate information to support staff and assist when necessary.
- Actively lead, participate, or assist with company functions, committees, and teams.
- Other duties as assigned
Requirements – What You Need:
- You have a high school diploma.
- You possess a minimum of four (4) years of administrative or related experience, such as project or program management, event planning, or similar work experience.
- You have a strong ethical mindset and always maintain confidentiality and discretion.
- You are comfortable with technology and possess an excellent computing aptitude including the use of Artificial Intelligence tools, Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, etc.) and other office productivity tools, and are willing and able to learn other company specific applications as required.
- You have strong interpersonal skills that allow you to work independently, professionally, and collaboratively across the organization.
- You are exceptionally well-organized and able to handle multiple priorities and deadlines with composure. You excel at effectively managing your time and resources to achieve consistent results.
- You have high attention to detail and can multitask with precision.
- You possess excellent written, verbal, and interpersonal communication skills.
- You can research, problem solve and make recommendations for solutions to issues.
- You can plan, coordinate, delegate, and leverage a team to execute on large-scale projects.
Preferences – It Would Be Great If You Have:
- Bachelor’s Degree in Business Administration, Communication, HR, Accounting, or related field.
- Previous experience utilizing Workday, Concur, SAP, or other related programs.
- Experience in team leadership, project management and event planning.
