Duties
- Provide exceptional customer service via phone, email, and in person using multi-line phone systems and professional phone etiquette
- Manage front desk operations including greeting visitors, answering inquiries, and directing calls promptly
- Utilize computer skills to perform data entry, maintain accurate records, and update customer information using productivity software such as Microsoft Office and Google Workspace
- Handle administrative tasks like filing, proofreading documents, calendar management, and scheduling appointments or meetings
- Use QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking
- Support office management activities including organizing files, managing supplies, and maintaining a tidy workspace
- Assist with specialized roles like dental or medical receptionist duties as needed, including patient check-in and appointment scheduling
- Demonstrate organizational skills by managing multiple priorities efficiently while maintaining high productivity levels
Experience
- Previous office experience or administrative experience is highly preferred
- Bilingual abilities are a strong plus to serve diverse customer needs effectively
- Proven experience with clerical tasks such as filing, proofreading, and data entry
- Familiarity with customer service principles and techniques in a professional setting
- Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and basic bookkeeping software like QuickBooks
- Experience working with multi-line phone systems and handling front desk responsibilities
- Strong organizational skills with excellent time management capabilities to handle busy workloads efficiently
- Personal assistant or medical/dental receptionist experience is advantageous but not required
