We are seeking a highly organized Administrative Assistant to join our team! Duties
- Email subcontractor's with scope of work, confirming scheduling.
- Multitasking is a must!
- Keep track of subcontractor payments
- Order materials
- Manage multi-line comunication systems, emails, software and phone calls to complete task requited
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report creation
- Support calendar management and appointment scheduling for team members or executives
- Assist with bookkeeping tasks using Excel or similar accounting software to track expenses and invoices
- Provide excellent customer support via phone, email, or in person, addressing inquiries efficiently
- Perform clerical duties such as copying, scanning, faxing, and managing office supplies to keep operations running smoothly
- Maintain a clean and organized front desk area and assist with general office management responsibilities
Qualifications
- Proven experience in an office environment or as an administrative assistant with strong clerical skills
- Multitasking
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with excel or other bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills; bilingual abilities are a plus
- Experience handling multi-line phone systems and providing top-tier customer service
- Ability to type quickly and accurately while maintaining attention to detail
- Demonstrated time management skills with the ability to handle multiple responsibilities efficiently
