We are seeking a detail-oriented and highly organized Dialysis Coordinator – Insurance & Facility Placement to support our busy nephrology practice. The ideal candidate will have a strong background in insurance verification, authorization processes, and facility coordination. This role is essential in ensuring patients are placed appropriately, insurance requirements are met, and all administrative workflows operate efficiently.
As a key member of our healthcare team, the Dialysis Coordinator serves as the primary liaison between providers, dialysis facilities, hospitals, case managers, and insurance carriers to ensure timely access to dialysis care while maintaining regulatory compliance and operational excellence.
Duties & Responsibilities
- Coordinate dialysis patient placements with outpatient dialysis centers, hospitals, and other healthcare facilities, ensuring timely communication and continuity of care.
- Manage insurance verification, benefits checks, and prior authorization processes for new dialysis starts, patient transfers, and ongoing treatment needs.
- Serve as the primary liaison between dialysis facilities, hospital case managers, insurance companies, and providers to facilitate seamless patient onboarding.
- Collaborate with physicians, nurse practitioners, medical assistants, and clinical staff to ensure all required clinical documentation, laboratory results, and insurance requirements are completed prior to dialysis initiation.
- Maintain accurate administrative, insurance, and patient documentation while ensuring compliance with HIPAA and organizational policies.
- Track and manage insurance authorizations, renewals, policy limitations, and payer-specific requirements to prevent interruptions in patient care.
- Monitor and update EMR records, dialysis placement logs, and communication trackers to support efficient patient management.
- Support the revenue cycle team by identifying insurance issues, correcting demographic discrepancies, and ensuring accurate payer setup.
- Assist in resolving insurance denials, eligibility issues, and facility coordination challenges in a timely manner.
- Communicate regularly with providers regarding insurance status, dialysis placement updates, and outstanding documentation requirements.
- Maintain positive working relationships with dialysis facilities, hospitals, payers, and internal staff to promote efficient patient care.
- Promote a compliant administrative environment by adhering to HIPAA regulations, payer requirements, and established practice protocols.
Qualifications
- Strong background in health insurance, authorization workflows, benefits verification, and payer requirements.
- Previous experience in dialysis, nephrology, renal care, or a medical administrative setting is highly preferred.
- Excellent understanding of HIPAA regulations and patient privacy requirements.
- Proven ability to manage detailed administrative and insurance documentation accurately and efficiently.
- Exceptional communication and interpersonal skills with the ability to coordinate effectively between patients, providers, dialysis facilities, hospitals, and insurance carriers.
- Highly organized with the ability to prioritize multiple patients, deadlines, and facility schedules in a fast-paced environment.
- Proficiency with electronic medical records (EMR), insurance portals, Microsoft Office, and other healthcare documentation systems.
- Clinical knowledge or previous experience as a Medical Assistant, Certified Clinical Medical Assistant (CCMA), Licensed Vocational Nurse (LVN), or in another direct patient care role is not required but is highly beneficial. Candidates with clinical experience often have a stronger understanding of nephrology workflows, dialysis treatment processes, laboratory values, and medical terminology, allowing them to collaborate more effectively with providers and dialysis facilities.
- Relevant healthcare certification or administrative experience in a medical setting is strongly preferred.
Preferred Skills
