We are seeking a highly organized, energetic, and professional Administrative Assistant & Community Outreach Coordinator to join our growing team. Key Responsibilities: Administrative Duties
- Answer and direct incoming client phone calls in a professional and compassionate manner.
- Manage firm email inboxes and respond to inquiries promptly.
- Schedule appointments and manage attorney and staff calendars.
- Prepare, scan, organize, and maintain client files and legal documents.
- Process incoming and outgoing mail and packages.
- Maintain office supplies and assist with general office organization.
- Enter and update client information in the firm's case management system.
- Assist attorneys and staff with administrative and clerical tasks.
- Coordinate meetings, conference room schedules, and office logistics.
- Follow up with prospective and existing clients as directed.
- Maintain confidentiality of all client and firm information.
Community Outreach & Marketing
- Represent the firm at community events, festivals, networking events, trade shows, and local sponsorships.
- Set up, organize, and manage event booths and promotional displays.
- Distribute marketing materials, brochures, promotional items, and branded giveaways.
- Build relationships with local businesses, chiropractors, medical providers, physical therapists, auto repair shops, and community organizations.
- Identify opportunities for sponsorships, partnerships, and community involvement.
- Capture photos and videos during events for social media and marketing campaigns.
- Assist in planning and coordinating community outreach initiatives and marketing events.
- Educate prospective clients about the firm's services and referral process.
- Track outreach activities and prepare event summaries and reports.
Qualifications
- Previous experience as an administrative assistant, office assistant, receptionist, or customer service representative preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional phone etiquette and customer service skills.
- Proficient with Microsoft Office Suite and Google Workspace.
- Comfortable learning new software and case management systems.
- Friendly, confident, and professional attitude.
- Ability to work independently and collaborate with a team.
- Valid driver's license and reliable transportation.
- Willingness to travel throughout the local metro area for community events.
- Ability to lift and transport event materials up to 30 lbs. when necessary.
- Availability for occasional evenings and weekends for community events.
