Novello Imaging is a growing outpatient imaging center providing MRI, CT, Ultrasound, and X-ray services to patients throughout Northern Michigan. We are looking for a full-time Medical Receptionist and Scheduling Representative to join our team.
This position plays an important role in both the patient experience and the day-to-day flow of our imaging center. Our Patient Services & Scheduling team is often the first point of contact for our patients and referring provider offices—from scheduling an appointment and answering questions to checking patients in on the day of their exam.
We are looking for someone who is friendly, dependable, organized, comfortable on the phone, and able to keep up in a busy environment. Healthcare experience is preferred, but we are especially interested in candidates who communicate well, learn quickly, take initiative, and genuinely enjoy helping people.
What You'll Do
· Greet and check in patients while creating a welcoming and professional experience.
· Answer incoming phone calls and assist patients and referring provider offices.
· Schedule MRI, CT, Ultrasound, and X-ray appointments according to scheduling guidelines.
· Review orders and gather the information needed to appropriately schedule exams.
· Communicate appointment information, exam preparation instructions, and other important details to patients.
· Obtain and update patient demographics and insurance information.
· Assist with insurance verification and communicate estimated patient out-of-pocket costs when appropriate.
· Work with referring provider offices to obtain missing orders, clinical information, authorizations, or other documentation.
· Help manage incoming orders and ensure patients are contacted and scheduled in a timely manner.
· Maintain accurate documentation within the scheduling and patient information systems.
· Collect patient payments and provide receipts when applicable.
· Protect patient privacy and maintain HIPAA compliance.
· Communicate closely with technologists, clinical staff, and other team members to keep the daily schedule running smoothly.
· Help identify scheduling issues, open appointments, or patient needs and work proactively to find solutions.
· Assist with other front-office and administrative responsibilities as needed.
What We're Looking For
· Previous medical office, scheduling, registration, insurance, or healthcare experience is preferred.
· Experience in radiology or diagnostic imaging is a plus but not required.
· Strong customer service and communication skills.
· Comfortable spending a significant portion of the day communicating with patients by phone.
· Ability to multitask and prioritize in a busy healthcare environment.
· Strong attention to detail and accuracy.
· Comfortable learning new computer systems and technology.
· Basic knowledge of medical terminology and health insurance is preferred.
· Dependable, professional, and willing to work as part of a team.
· Able to handle sensitive patient information with discretion and confidentiality.
· Willing to ask questions, learn new processes, and adapt as our center continues to grow.
Schedule
This is a full-time, on-site position.
Our center operates Monday through Friday between 7:00 a.m. and 7:00 p.m., and scheduled hours may vary within that timeframe. Occasional weekend coverage may be needed based on patient volume and operational needs.
