Job Description
We are seeking a business-minded professional who is caring and compassionate to join our team as an Intake Coordinator. Reporting directly to the Clinical Coordinator, this position plays an integral role in our welcoming process and connection to clinical outpatient services. Additionally, this position serves as a primary representative of Beginning Step to the public.
Key Responsibilities
1. Promote a welcoming positive customer service culture for clients, staff, and other stakeholders.
2. Receive incoming intake and agency information calls from potential clients, referring agencies, and/or the general public.
3. Prepare daily report of intakes, discharges, and referrals including source and client specifics.
4. Perform phone interviews of potential clients ensuring that all clients have the proper funding in place.
5. Review phone interview information with the Clinical Coordinator in cases of dual diagnosis, high acuity medical situations and other unusual client situations.
6. Schedule all intakes and communicate intake schedule with all staff.
7. Maintain daily wellness check connections with clients waiting to enter the program.
8. Gather all intake information using the electronic medical record (EMR) system with each new client.
9. Provide an agency orientation to new clients that explains the design of the program, consent forms, program rules and recipient rights, orientation packet information, and a tour of the office.
10. Assign intakes to a house, coordinate travel and orientation to the house, contact house monitors to notify them of new clients, and place clients on the bed board in the EMR.
11. Assist clients with program intake paperwork during level of care changes when needed.
12. Assist with urine screenings as needed; complete documentation.
13. Run monthly reports on client insurance status.
14. Maintain daily contact with referring agencies.
15. Serve and maintain roles and responsibilities as Customer Service Engagement and Enrollee Representative.
16. Complete and distribute promotional packages as needed.
17. Conduct presentations to potential referring agents.
18. Attend professional conferences and events on behalf of the agency when needed.
19. Responsible for setup, maintenance, and pack up of all display boards and marketing materials at designated events.
20. Monitor and respond to after hours intake calls within 24 hours.
21. Facilitate didactic groups and complete documentation as needed in backup situations.
22. Attend weekly clinical case conference and supervision meetings.
23. Provide front desk coverage as needed in backup situations.
24. Maintain confidentiality pertaining to clients and client records that meet 42 CFR and HIPAA regulations.
25. Obtain and maintain ongoing training/education related to substance abuse and co-occurring disorders.
Qualifications
Bachelor's degree in social work (required).
Certification as an alcohol and drug counselor by the Michigan Certification Board for Addiction Professionals or the ability to obtain a CADC development plan upon hire.
Minimum of 1 year of experience working in the behavioral health field.
Ability to conduct didactic and/or process groups.
Strong presentation skills.
Strong customer service skills.
Adult First Aid/CPR/AED certification or ability to obtain within 60 days of hire.
Competency with Microsoft 365 Office Suite.
Comfortable working with electronic medical records.
Strong verbal and written communication skills.
Valid driver’s license.
Ability to meet Federal, State, and local criminal clearance requirements.
