Position Overview
We are seeking a reliable, detail-oriented Accounting/Administrative Assistant to support our accounting and administrative operations. This role is responsible for processing accounts payable and accounts receivable, maintaining subcontractor compliance documentation, assisting with insurance audits, providing general administrative support, and maintaining office supplies and the kitchen/meeting area. The ideal candidate is highly organized, enjoys solving problems, and takes pride in maintaining accuracy while helping protect the company from financial and compliance risks.
Key Responsibilities
Accounting
- Manage accounts payable and receivable processes, including invoicing, bill payments, and tracking expenses.
- Perform data entry of financial transactions using accounting software such as Sage 100 Contractor, ensuring accuracy and timeliness.
- Review and reconcile vendor invoices and resolve billing discrepancies
- Maintain accurate financial and accounting records
- Assist with general accounting and administrative tasks as needed
Compliance & Risk Management
- Manage subcontractor insurance certificates, W-9s, lien waivers, and compliance documentation
- Assist in preparing documentation for workers’ compensation and general liability insurance audits
- Identify and help prevent fraud attempts, including email phishing, fraudulent payment requests, vendor impersonation, and unauthorized banking changes
- Verify vendor information and payment instructions before processing payments
Administrative Support
- Maintain organized filing systems for financial documents, receipts, and reports to ensure easy retrieval and compliance.
- Provide excellent customer support through phone communication, client communication, and addressing inquiries promptly.
- Support daily office operations and administrative projects.
- Manage office supply inventory.
- Maintaining a tidy and stocked kitchen and meeting area
- Perform data entry and other administrative duties as assigned.
Qualifications
- Prior accounting, bookkeeping, or accounts payable/receivable experience required
- Construction industry experience preferred
- Experience with Sage 100 Contractor (or similar accounting software) strongly preferred
- Strong attention to detail and ability to identify errors and inconsistencies
- Excellent organizational and time management skills
- Proficient in Microsoft Office, particularly Excel and Outlook
- Ability to prioritize multiple tasks in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently while collaborating effectively with a team
- High level of integrity and discretion when handling confidential financial information

Requirements:
- Must pass a background check
- High school education or equivalent
- Valid driver’s license, current auto insurance
Compensation:
$22-$25/hr based on experience

Schedule:
8 hour shift 7:30am-4:00pm, 30 min lunch.
Monday to Friday. No nights, no weekends
