As Forte Prep grows its high school campus at 78-02 Queens Boulevard in Elmhurst, NY, we are seeking an Operations Associate to support the day-to-day operations of the building.
Role Overview:
The Operations Associate plays a central role in keeping Forte Prep's high school campus running smoothly each day. This role supports the school's main office and front desk, student records and information systems, IT troubleshooting, supplies and procurement, school events, and state testing logistics.
This position requires a proactive, detail-oriented individual who is comfortable juggling multiple responsibilities at once, communicates warmly with students, families, and staff, and approaches problems with initiative rather than waiting for direction.
The Operations Associate reports to the high school Director of Operations and works closely with the Operations Manager, school leaders, and the rest of the operations team.
Key Responsibilities:
Main Office and Front Desk

Manage phones, including answering, receiving, and placing calls and taking messages

Manage mail, including stamping, signing, and distributing received mail and preparing and sending outgoing mail

Respond to and address family requests, including providing requested documentation

Support the school's translation needs to ensure clear communication with all families

Actively contribute to building an engaged, diverse, and inclusive school community
-
Move packages weighing up to 30 pounds
Student Records and Information Systems

Support the collection and maintenance of student, personnel, and school information, including receiving forms and paperwork

Take and track attendance, follow up on missing forms, and keep contact information current

Enter information into ATS and other student information systems

Maintain accurate, up-to-date records
IT Troubleshooting

Provide first-line technical support to staff, including troubleshooting hardware and software issues

Collaborate with IT vendors and Central Office staff to address and resolve technical challenges

Support classroom technology, copy machines, student and teacher devices, and networking equipment

Help manage the school's internal and external ticketing systems
Inventory and Procurement Support

Place and track orders for school materials, including poster paper, ink, and other supplies

Coordinate with vendors to ensure timely and accurate delivery

Manage the supply closet and inventory, ensuring adequate stock levels
Event Support

Set up community meetings and school events, ensuring all logistical requirements are met

Collaborate with school staff and the Family Manager to ensure successful event execution
Testing Coordination

Coordinate the printing and distribution of exam materials

Oversee check-in and check-out processes for state, AP, and other major exams
Qualifications:

At least 2 years of experience in administrative or operations roles, preferably in an educational setting

Strong organizational and multitasking skills with attention to detail

Initiative and the ability to deliver results quickly and efficiently

Excellent communication and interpersonal skills

Proficiency in IT troubleshooting and basic technical support

Spanish fluency is required

High school diploma or equivalent; additional education or certifications in operations management or a related field is a plus

Compensation:
This is a permanent, full-time position. The salary range for this role is $60,000 to $70,000, commensurate with experience. Forte Prep Academy offers a benefits package that includes medical, vision, and dental insurance, 403(b) matching, parental leave, tuition reimbursement, a smartphone, and a laptop.
Schedule: Monday to Friday
