Job Summary
Assists the Assistant Director Physical Plant in overseeing the maintenance, repair, and daily operations of The Wolfsonian Campus, including The Wolfsonian, Wolfsonian Annex, and Jewish Museum buildings. Coordinates work performed by internal maintenance staff and external contractors to ensure efficient and timely completion of operational and maintenance activities. Exercises independent judgment within established procedures, identifies and resolves operational issues, and provides direction and training to maintenance personnel. Assists with fiscal oversight related to maintenance operations and budget administration for The Wolfsonian Campus.

Assists in overseeing the Maintenance and Operations functions for The Wolfsonian Campus. Provides day-to-day supervision and direction of maintenance operations, including utilities operations. Monitors maintenance assignments and coordinates activities with project managers, contractors, vendors, and Facilities Management personnel. Assists in inspecting and monitoring minor roof repairs and other maintenance-related projects.

Coordinates with vendors in preparing proposals for maintenance and repair projects. Tracks contracted work, inspects completed work for quality and compliance, and recommends vendor payments. Utilizes the Maximo system to track and monitor contracted work activities.

Assists in performing emergency maintenance duties related to Facilities Management operations, including hurricane preparation, emergency lighting repairs, leak mitigation, temporary repairs, and other emergency response activities as required.

Contacts vendors directly for equipment, parts, and supplies. Monitors inventories and researches appropriate materials and equipment to support maintenance and repair needs. Serves as the departmental University credit card holder and ensures compliance with university purchasing card policies and procedures. Coordinates maintenance tracking for departmental vehicles.

Assists in performing general maintenance and repair work, including replacement of ceiling tiles, lighting components, electrical devices, masonry repairs, wall patching, and related building maintenance activities.

Assists in overseeing all physical operations for the historic properties comprising The Wolfsonian Campus, the Annex, and the Jewish Museum as needed.

Reviews and verifies employee timecards and leave requests. Assists in evaluating employee performance, counseling staff, recommending training opportunities, and addressing disciplinary matters as needed. Participates in recruitment and hiring processes for vacant positions and provides recommendations to the Assistant Director. Receives and documents employee concerns or grievances and attempts resolution at the supervisory level, escalating matters as appropriate.

Coordinates staff assignments and special projects. Oversees and monitors the work activities of skilled and semi-skilled trades personnel, including work order completion and response times. Assists in developing programs and initiatives to enhance operational service delivery across The Wolfsonian Campus. Participates in operational meetings with the Assistant Director Physical Plant to discuss facility-related matters and departmental priorities.

Serves as the primary liaison with The Wolfsonian and JMOF staff to coordinate and communicate facilities-related activities, projects, operational impacts, and scheduling needs to ensure effective collaboration and minimal disruption to campus operations.

Evaluates the productivity and effectiveness of Facilities Management operations staff. Recommends and implements workflow improvements, staffing adjustments, and operational enhancements to ensure professional, timely, and code-compliant results.

Assists in determining equipment and operational needs in coordination with the Associate Director. Supports utilities operations and collaborates with Energy Management Operations as needed..

Performs essential duties during emergencies, including hurricanes, storms, and other University emergency events or closures. Must be available to report to work during University emergency operations with appropriate notification from department leadership.
Minimum Qualifications
High school diploma or GED and three (3) years of relevant experience; OR an equivalent combination of relevant education, experience, and/or vocational/technical training.
