About the Role
The Receptionist & Hospitality Associate provides weekday afternoon and evening front desk coverage while supporting the church’s hospitality ministry. This position serves as a welcoming presence for members, guests, volunteers, vendors, and staff, while also assisting with volunteer scheduling, food order coordination, Sunday preparation, special events, discipleship programming, outside events, and the overall guest experience.
General Receptionist Responsibilities
- Warmly greet people as they enter the church building and direct them appropriately.
- Keep the front desk clean, organized, and free from trash and clutter.
- Answer the phone and assist callers with questions, transferring calls when appropriate.
- Know when to transfer calls and who to transfer them to.
- Ensure lights are appropriately turned on and off.
- Sort and distribute mail appropriately.
- Notify staff members by email when packages have arrived.
- Care for plants in the welcome area.
- Fold bulletins for memorials and choir music as needed.
- Manage key access for approved individuals.
- Maintain a calm, helpful, and engaged presence at the front desk.
- Report concerns, needs, and building issues to the Director of Hospitality.
Hospitality Associate Responsibilites
- Own and ensure children’s clipboards are assembled, prepared, and maintained for Sunday worship.
- Work with Children’s Ministry and the Director of Hospitality regarding clipboard needs.
- Pick up children’s clipboards from the Sanctuary on Mondays.
- Coordinate food orders with the Director of Hospitality.
- Communicate food order details clearly with the hospitality team.
- Provide hands-on support during discipleship programming and outside events.
- Brainstorm opportunities to “surprise and delight” visitors and guests with the Director of Hospitality.
- Assist the Director of Hospitality in planning and executing special Sundays.
- Assist with outside events and community-oriented events.
- Schedule greeters, medical team members, and care team members through Planning Center.
- Coordinate with the Director of Hospitality on greeter needs for events outside of Sunday morning.
- View the church building and entry experience through the lens of a first-time guest.
- Help own the physical and aesthetic experience of the welcome spaces in coordination with the Director of Hospitality and the Director of Communications.
Required Qualifications
- Warm, welcoming, and professional presence.
- Strong attention to detail.
- Ability to remain calm and engaged in a busy environment.
- Reliable and punctual.
- Comfortable learning and using Planning Center and other church systems.
- Able to communicate clearly with staff, members, guests, vendors, and volunteers.
- Able to anticipate needs and provide hands-on support.
- Must complete a background check.
- Must be Ministry Safe certified before beginning employment.
Position Details
- Status: Full-Time
- Hours: 37.5 hours/week
- Schedule: Monday–Friday 11:00 a.m.–6:30 p.m.
