Role: Part-Time Front Office & Patient Care Coordinator
Schedule: Monday–Thursday, 9:30am–1pm in-person (~16 hrs/week), plus approximately 2 hours virtual on Fridays for message and email follow-up

About The Role
Nurture for Women is a growing hormone and metabolic health practice built on the belief that women deserve more than 15 minutes and a prescription. We're looking for an organized, warm, and dependable Patient Care Coordinator to help run the front office and keep our day-to-day operations smooth — so our clinician can stay focused on patient care.
This is a hands-on admin and patient support role. Day to day, you'll handle scheduling, checking patients in and out, answering messages and emails, ordering office supplies, and helping new patients get set up with membership. The role is still taking shape as we grow, so some flexibility and a "figure it out" attitude go a long way — but at its core, this is administrative and patient-facing support work, not a supervisory position.
What You'll Do
Front Desk & Scheduling
- Check patients in and out, and manage day-to-day scheduling and rebooking
- Handle schedule changes, cancellations, and last-minute reschedule requests with warmth, using good judgment about what needs the clinician's input
- Coordinate with our care team so patient handoffs stay smooth — collaborating with the medical assistant on next steps and follow-ups
- Keep OptiMantra, Hint, and Asana updated so nothing falls through the cracks
Patient Communication & Onboarding
- Monitor patient messages, emails, and calls, and respond to what you can so the clinician only sees what truly needs her attention
- Welcome new patients: schedule their onboarding call, send portal access, and walk them through what to expect so they feel confident and set up for success from day one
- Check in with patients after first visits or key milestones ("How did today go? What questions do you have?")
- Support promotion of upcoming group education sessions ("Nurture Method" calls) and follow up with patients who attend as needed
- Flag any patient who seems confused, frustrated, or falling through the cracks
Membership & Billing Support
- Help new patients understand and enroll in membership plans
- Handle card-on-file setup, invoicing follow-up, and basic billing questions
- Support medication pickup coordination and refill logistics
Office Support
- Order and track office and clinical supplies
- Support onboarding logistics for new patients (sending portal access, welcome materials, and scheduling first calls)
- General day-to-day tasks that keep the office running
What We're Looking For
- Warm, friendly, and comfortable being the first voice/face patients interact with
- Organized and able to keep track of multiple moving pieces without much oversight
- Tech-savvy and genuinely excited to learn new tools — comfortable with practice management software (OptiMantra/Hint), project tools (Asana), and everyday AI tools like Claude or ChatGPT for drafting messages and staying efficient. If a new program or system comes along, you're the type to dig in and figure it out rather than feel intimidated by it.
- Comfortable with sensitive conversations (billing, cancellations, scheduling conflicts) without taking them personally
- Discreet and trustworthy with confidential patient information
- Local to Columbia, SC and able to work in-person
Bonus: Experience in a medical or wellness office, or in membership/subscription-based businesses.
