We are seeking a highly skilled Site Services Specialist - Sales with strong experience in Zoho CRM to join our dynamic team. This position plays a pivotal role in managing client relationships, driving sales activities, and optimizing the use of Zoho CRM to enhance operational efficiency and sales performance. The ideal candidate will be a proactive, customer-focused individual who can lead cross-functional teams and streamline sales processes.
Key Responsibilities:
Lead Handling & Qualification
- Respond to inbound calls/texts via Zoho Voice, forms, emails, and messages within SLA (speed-to-lead).
- Use approved call scripts and discovery questions to qualify scope, materials, timelines, access constraints, and budget.
- Create/complete Zoho CRM records on first touch - deal record, log notes, tasks, files, and next steps.
Quoting & Closing
- Prepare accurate quotes using approved vendor price offerings and margin guardrails.
- Present options clearly (sizes, timelines, restrictions, fees) and secure verbal/written acceptance.
- Handle sales objections with approved talk tracks; escalate complex price negotiations to the Manager when needed.
- Convert won quotes into invoices and purchase orders (POs) per SOP; route documents for e-signature (e.g., Zoho Sign).
Vendor Coordination
- Request and compare vendor quotes against targets; confirm availability, service dates, and constraints.
- Submit clean, complete work orders/dispatch details; follow up to confirm acceptance and timing.
- Proactively resolve routine vendor issues; escalate service risks promptly.
Customer Experience & Compliance
- Set clear expectations (delivery windows, placement, prohibited items, rental periods).
- Collect payment per policy; follow ID verification steps for card payments.
- Own post-order communication: confirmations, updates, and documented resolutions.
CRM & Process Hygiene
- Maintain impeccable CRM hygiene: accurate stages, activities, timestamps, attachments, and outcome codes.
- Follow all SOPs for deals, purchase orders, commissions, clawbacks, refunds, adjustments, and documentation.
- Participate in coaching: call reviews, role-plays, and product knowledge checks.
What Success Looks Like
- Sales Duration Cycle: Avg. time from lead to first contact meets or beats SLA.
- Conversion Rate by product at or above target.
- Gross Margin per Deal: within approved guardrails.
- CRM Hygiene Score: complete fields, accurate stages, timely tasks, quality notes.
- QA Call Score: meets/ exceeds standard on greeting, discovery, clarity, and compliance.
- Invoice/PO Accuracy: low error rate; zero preventable rework.
- Attendance/Time Tracking Compliance in Hubstaff.
