The Role (What You’ll Own)
This role is more than scheduling appointments—you are helping create opportunities for the sales team while delivering a professional and seamless experience for customers.
You will:
- Coordinate HVAC sales and replacement leads
- Schedule and confirm appointments for Comfort Advisors
- Follow up with customers regarding estimates, financing, and pending decisions
- Communicate with customers professionally and confidently
- Support department revenue growth through organization and follow-through
- Deliver a professional, 5-star customer experience throughout the process
Key Responsibilities
Lead Coordination & Scheduling
- Manage inbound and outbound HVAC sales opportunities
- Schedule and confirm appointments for Comfort Advisors
- Coordinate schedules between customers, sales team, and dispatch
- Ensure accurate customer information and lead details are entered into ServiceTitan
Customer Experience
- Build rapport and maintain professional communication with customers
- Follow up on pending estimates and unsold opportunities
- Assist customers with appointment coordination and financing steps
- Deliver a positive and organized customer experience
Performance & Accountability
- Meet lead conversion, scheduling, and follow-up expectations
- Maintain strong attention to detail and organization
- Support department revenue and closing opportunities
- Take ownership of pipeline management and communication
Standards & Consistency
- Maintain accurate notes and updates in ServiceTitan
- Follow company communication and scheduling procedures
- Maintain professionalism during high-volume periods
- Ensure timely follow-up and responsiveness
Team Collaboration
- Communicate effectively with Comfort Advisors, dispatch, managers, and operations
- Support team goals and company initiatives
- Contribute to a positive, high-performance culture
What We’re Looking For
- Previous customer service, dispatch, sales coordination, or call center experience preferred
- Strong communication and multitasking skills
- Comfortable handling high call volume and fast-paced environments
- Strong organizational and follow-up abilities
- Ability to create urgency and maintain professionalism
- Experience with CRM or scheduling software preferred
- ServiceTitan experience is a plus
- Positive attitude, coachability, and strong work ethic
- Ability to work evenings or weekends when needed
