Sapna is looking for a full-time Operations Associate to join our team. We are accepting applications on a rolling basis, but anticipate a start date of July or August 2026. This is a new position and is a largely administrative role along with assisting in general organizational needs. This position will also include work in human resources and contract management. The Operations Associate will work collaboratively with the Sapna NYC team, particularly our Executive Director, and outside partners to manage the systems that keep programs running smoothly across the organization. The ideal candidate is detail-orientated and organized, able to work well under pressure and juggle multiple time-sensitive tasks while meeting deadlines.

DUTIES & RESPONSIBILITIES
Administration
- Maintain Sapna office phone and email communication
- Field referrals, partnership requests, media requests, etc.
- Manage and oversee client database
- Maintain receipts and other documents
- Track and handle staff reimbursements & consultant compensation
- Maintain inventory - order office, program, and outreach supplies as needed
Human Resources
- Maintain staff individual files and paperwork
- Complete onboarding process with new hires
- Maintain and submit staff timesheets and benefits
- Ensure compliance with USCIS and other laws
Grant Management
- Prepare grant or contract paperwork with assistance from Executive Director
- Track project deliverables and maintain necessary records for reporting
- Work with NYC and NYS agencies to complete contract registrations
Monitor Organizational Compliance
- Work with management and CPA to complete necessary financial reviews, audits, and filings with charity bureau
- Track deadlines and requirements for compliance, i.e. insurances, labor laws, etc.
- Maintain necessary documents for funder and government contracting
- Obtain necessary permits, licenses, leases, etc. for office & outside events
Other
- Assist with community events as needed.
- Attend pertinent meetings, trainings, and workshops.
- Represent Sapna in meetings with partners, coalitions, and funders as needed.
REQUIRED QUALIFICATIONS
- Bachelor’s degree required.
- U.S. work authorization required.
- 2-3 years of experience with administrative work, city contracting, or grant invoicing/reporting required
- At least 1 year experience with non-profit or community-based organization required.
- Position can either be hybrid or fully in-person, but 2-3 in-person days per week required.
- Able to travel throughout the boroughs as needed for meetings events, & trainings.
- Computer skills required, i.e., Microsoft Office Suite, Google Suites, Zoom, etc.
- Experience with QuickBooks and Passport preferred, but not required.
- Spoken fluency in a South Asian language preferred, but not required.
- Ability to engage with diverse communities.
- Strong personal responsibility and commitment to work, follow-through, and accountability.
- Creative thinker, self-starter personality highly preferred
- Passion for health equity, social justice, gender justice, and Sapna’s mission preferred
COMPENSATION:
Sapna NYC offers a competitive compensation and benefits package, commensurate with experience and within the parameters of the Sapna NYC compensation scale. This includes a generous PTO, sick leave package, paid family leave, 401k, commuter benefits, and professional development stipend as well as other benefits. This is a 35-hour full-time hourly position with compensation of $48,000 - $51,000 commensurate with experience. Sapna NYC’s office hours are Monday - Friday, 10am-6pm with some room for flexibility. Some evenings or weekends will be required with advance notice. This is a hybrid position requiring 2-3 in-person days at our offices in the Bronx.
Pay: $26.00 - $28.00 per hour
